Key Responsibilities:



  • Serve as the dedicated pre-arrival point of contact for guests, travel agents, and third parties.

  • Proactively reach out to guests prior to arrival to confirm details, answer questions, and ensure all required information, payments, and documents are complete.

  • Maintain a professional, empathetic, and service-forward tone across all communication channels (phone, email, SMS, CRM platforms).

  • Review, update, and verify reservation details including guest profiles, special requests, billing, payment schedules, and occupancy information.

  • Process modifications such as date changes, guest additions, amenity adjustments, and package enhancements within established guidelines.

  • Ensure reservations comply with property policies including deposit schedules, cancellation policies, occupancy standards, and All-In-One fee requirements.

  • Ensure guests meet all pre-arrival requirements such as payment deadlines, waivers, ID verification, and policy acknowledgment.

  • Document interactions thoroughly in the CRM for continuity between departments.

  • Identify potential guest issues in advance and proactively resolve or escalate them appropriately.

  • Uphold brand standards, privacy regulations, and property security protocols.

  • Manage guest concerns prior to arrival with empathy, clarity, and solution-forward communication.

  • Use de-escalation and objection-handling skills to address policy questions or frustrations.

  • Prevent day-of-arrival challenges by resolving issues like unpaid balances, incorrect unit types, outdated contact information, or conflicting requests.

  • Answer incoming calls promptly and provide callers with resort information and accommodations

  • Meet goals set for outbound call production

  • Have detailed knowledge of our amenities, including all rates and packages for current and future season, available discounts, special package offerings

  • Familiarize the Manager on Duty and/or the appropriate Salesperson of any arriving VIPs

  • Attend all department meetings including required safety meetings when requested

  • Process advance deposits through credit card or other acceptable payments

  • Work with minimal supervision and have excellent customer service skills

  • Up-sell unit reservations and have excellent knowledge of all the recreational activities Evermore offers

  • Perform all other duties as assigned by the Manager


Education, Skills, and Experience:



  • Good computer skills in PMS, email, web browsing and scheduling software

  • Good typing skills (45 wpm or better)

  • Ability to speak, read, write, and comprehend the English language at a level sufficient to communicate effectively with clients, members, guests, and co-workers

  • Ability to speak or read in Portuguese or Spanish is highly desirable

  • Answer calls in a warm and professional tone utilizing the provided scripting as a guide

  • Able to handle guest requests in a detailed manner

  • Adhere to property and company policies and procedures

  • Excellent communication and interpersonal skills; ability to interact with a wide range of people

  • Outstanding organizational, attention to detail, and problem-solving skills

  • Ability to multi-task in a fast-paced environment, an ever-changing environment and prioritize job duties

  • Capable of working scheduled hours, including weekdays, weekends, nights, and holidays


Physical Requirements:



  • Able to safely lift, pull and push up to 25 pounds

  • Able to stand, walk, stoop, kneel, bend, and reach periodically

  • Visually look at a computer for extended periods

  • Able to sit and use the computer for hours at a time

  • Subject to environmental conditions, work activities can occur inside and outside

  • Visually look at a computer for extended periods

  • Repetitive hand motions, such as typing
