Job Description - Private Office Coordinator - Collaborative Environment

We are in need of a brilliant Private Office Coordinator to join our stellar team at Robert Half in Los Angeles, CA.

Our client, a high end real estate firm based in West Los Angeles, is looking for an Executive Assistant on a direct hire basis. You will assist with the day-to-day administrative responsibilities of the department. Depending on the skill set and experience, certain managerial responsibilities will be delegated to the new team member, and new policies will be implemented to enhance efficiency and the client experience. You will act as an extension of the on-site Membership Services team, striving for improved efficiency, communication, and seamless handoffs for guests arriving at one of our clients high end properties located in Cabo. Your main job duties will include:

  • Provide administrative support to the Private Office at the Los Angeles headquarters.
  • Act as the lead contact and coordinator for all real estate prospects and VIP guests’ experiences at the 5 star resort they own in Cabo
  • Collaborate closely with the Private Office team in Los Angeles, the on-site Sales Team, and on-site Membership Services teams to ensure proper handoff with all prospects and timely response to requests.
  • Manage all logistics, including itineraries, special requests, activities, and transportation.
  • Work with the Private Office team to update team calendars and establish a seamless communication plan with the on-site operations team and Four Seasons reservation and concierge teams.
  • Coordinate on-site visits for the ownership team and consultants.
  • Assist with event coordination, managing RSVPs, gifting, accommodation needs, and logistics.
  • Attend weekly, bi-weekly, and monthly calls as necessary, scheduling calls and meetings.
  • Support other daily and weekly duties as assigned by the Manager and/or Sales/Managing Directors.

Robert Half is looking for an organized candidate with excellent written and verbal communication skills. Hospitality or real estate experience would be a huge plus! This is a direct hire position located in West Los Angeles. Salary range is $70-90k plus a discretionary bonus. Hours are 8am-5pm or 9am-6pm with light overtime. At least 5 years of administrative experience is required for this position.
