Our client, a well-established company in the mining supply and industrial distribution sector, is seeking a proactive and well-organized individual to join their team as a Procurement & Administration Officer. This role involves managing end-to-end procurement functions, including supplier coordination, stock management, logistics, and import/export processes. In parallel, the role provides administrative and executive support across HR, compliance, and operational logistics. The ideal candidate must be detail-oriented, capable of multitasking in a fast-paced environment, and comfortable working closely with internal teams and external partners. Strong communication skills, discretion, and reliability are essential in supporting the companyâs nationwide operations.
Responsibilities:
Coordinate and communicate effectively with suppliers and vendors
Monitor stock levels and initiate timely reordering to prevent shortages
Prepare and manage import and export documentation
Liaise with customs officials and clearing agents to ensure timely clearance
Coordinate logistics and transportation of goods
Conduct and oversee monthly stock-taking activities
Maintain and update an accurate and reliable vendor database
Generate and present daily and monthly procurement reports for management review
Prepare and manage employment contracts
Process applications for work permits for expatriate staff
Maintain comprehensive and up-to-date employee records, including identification and documentation
Ensure the company remains compliant with all relevant legal, governmental, and regulatory requirements
Manage office maintenance and administrative support for company properties
Provide logistical assistance for daily operations and company activities
Support senior management in handling both company-related and personal administrative tasks
Assist in coordination of internal and external meetings, schedules, and communications
Requirements
At least 3 years of relevant working experience in procurement, administration, or related fields.
Fluency in English, both written and spoken, is essential; proficiency in Swahili is an added advantage.
Strong problem-solving skills and critical thinking ability.
Team-oriented, flexible, and adaptable to changing priorities.
Highly efficient, time-conscious, and able to manage multiple tasks simultaneously.
Trustworthy and discreet in handling confidential company and employee information.
