Procurement Assistant Refrigeration Services

Kalos Services is seeking a dependable and detail-oriented Procurement Assistant to support our Refrigeration Services Team. In this role, you’ll work closely with our Procurement Director to source and secure materials, equipment, and services critical to refrigeration system installation and maintenance projects. Your work will directly impact jobsite readiness, operational efficiency, and vendor performance. 

Compensation: $22 - $24 (based on experience)

Schedule: Monday through Friday, Day Shift  (On-Site)

Responsibilities

• Support sourcing, evaluation, and relationship management with vendors and suppliers
• Request, review, and organize supplier quotes for cost-effective and timely purchasing
  Coordinate with vendors to ensure on-time delivery of equipment and materials
  Prepare and process purchase orders and requisitions in accordance with company policies
  Monitor inventory levels to ensure availability for active and upcoming refrigeration projects
• Assist in negotiating pricing and terms to secure competitive advantages
• Maintain accurate records of purchases, costs, deliveries, and vendor data
• Generate purchasing activity reports and assist in tracking budget performance
• Ensure compliance with internal procedures and industry regulations
• Communicate order status, delays, or issues with internal stakeholders and leadership
• Collaborate with the Refrigeration Services team to align procurement with project needs and timelines
• Help inspect and verify incoming materials to ensure quality and adherence to specifications
• Work with the Quality Assurance team to resolve any material discrepancies
• Contribute to process improvement and cross-functional efficiency initiatives
  
  

• High school diploma or equivalent required; college coursework preferred
• Prior experience in procurement, purchasing, or inventory management, ideally within HVAC or refrigeration
• Strong knowledge of vendor relations, cost analysis, and supplier evaluation
• Excellent organizational, time-management, and communication skills
• Proficient in Microsoft Office and familiar with ERP or procurement software systems
• Strong attention to detail and accountability in tracking and documentation
• Ability to manage multiple priorities and work both independently and collaboratively
• Familiarity with refrigeration systems or mechanical construction materials is a plus
