Job Description - Production Assistant

The Production Assistant provides vital support for the planning, production, and execution of exhibitions, public programs, and special projects across the museum. Working under the direction of the Chief Preparator, this versatile position collaborates with multiple departments including Events, Curatorial, Facilities, and Visitor Services to ensure the successful implementation of the museum's diverse programming. The Production Assistant works in close collaboration with the teams on the execution of public programs and events. This role plays a key role in exhibition installations, event production, program support, and various administrative tasks related to the physical presentation of the museum's offerings.


DUTIES AND RESPONSIBILITIES Exhibition Production & Installation



  • Assist the Chief Preparator with gallery preparation, artwork installation, and exhibition changeovers

  • Collaborate with the Facilities Teams on gallery maintenance, repairs, and environmental controls

  • Help prepare exhibition spaces including wall preparation, painting, lighting adjustments, and display construction

  • Support the installation team with unpacking, handling, and installation of artworks

  • Help with fabrication of exhibition furniture, display elements, and custom mounts as needed

  • Occasionally support the Registrar during installation periods with condition reporting and documentation as needed

  • Contribute to exhibition de-installation and artwork packing processes


Event & Program Support



  • Assist the Events department with setup and breakdown for public programs, openings, and special events to ensure seamless execution as needed

  • Help coordinate audiovisual needs for lectures, performances, and presentations

  • Assist with the preparation and installation of event signage, wayfinding, and informational materials

  • Help manage event equipment inventory and maintenance

  • Provide on-site support during public programs and special events as needed


Production Assistance



  • Assist with the preparation and organization of production materials and supplies

  • Help maintain organized storage areas for exhibition furniture, tools, and installation materials

  • Support the documentation of exhibition installations and special projects

  • Contribute to the development and construction of interactive exhibition components  including signage, labels, and didactic materials

  • Assist with material sourcing, vendor coordination, and supply management


Administrative Support



  • Assist with tracking production timelines and installation schedules

  • Support the Chief Preparator with budget tracking for production materials and supplies

  • Help coordinate equipment rentals and contractor schedules when needed

  • Attend departmental meetings and contribute to exhibition planning discussions

  • Communicate effectively with colleagues across departments to ensure coordinated project execution


Interdepartmental Collaboration



  • Participate in cross-departmental projects as assigned by the Chief Preparator or Deputy Director, Operations


KNOWLEDGE, SKILLS, ABILITIES



  • Bachelor's degree in fine arts, museum studies, exhibition design, or related field preferred

  • 1-2 years of experience in exhibition production, art handling, or related field

  • Knowledge of proper art handling techniques and best practices

  • Basic carpentry, construction, and fabrication skills

  • Experience with tools, materials, and techniques used in exhibition production

  • Understanding of gallery lighting, installation, and display methods

  • Ability to read and interpret construction drawings and exhibition layouts

  • Excellent organizational skills and attention to detail

  • Strong problem-solving abilities and creative thinking

  • Good communication skills and ability to work effectively in a team environment

  • Physical stamina and ability to perform installation tasks

  • Flexibility to work evenings and weekends during installation periods and special events

  • Valid driver's license and ability to operate a cargo van preferred


REPORTING STRUCTURE


This position reports directly to the Chief Preparator, who reports to the Deputy Director of Operations. The Production Assistant works collaboratively with the Curatorial Assistant, Registrar, and Curators. 


WORK SCHEDULE


This is a full-time position requiring flexibility to work evenings and weekends during exhibition installation periods, public programs, and special events. The standard work schedule is Monday through Friday, 9:00 a.m. to 5:00 p.m., with adjustments made as needed based on exhibition and program calendars.


PHYSICAL REQUIREMENTS



  • Ability to stand, walk, and remain active for extended periods

  • Capacity to lift and carry objects weighing up to 50 pounds

  • Manual dexterity to safely handle artworks and operate hand and power tools

  • Ability to climb ladders, work at heights, and maneuver in tight spaces

  • Visual acuity for detailed work and color discrimination

  • Stamina to work long hours during installation periods



Salary and Benefits 


The salary for this position is $65,000 to $75,000 per year. Aspen Art Museum offers a competitive package of benefits, including paid time off, medical/dental/vision, 401k match. 



Hours and Work Schedule


This is a salary position requiring availability generally from Monday through Friday, with an occasional weekend, evening, and holiday work. The Production Assistant position is exempt from the Fair Labor Standards Act and will not receive overtime pay.


 


Location


This position is located in Aspen, Colorado.
