What You'll Do
Support Project Development and Quoting
- Partner with Account Executives to build, update, and maintain project quotes.
- Input additions, update opportunity stages, and confirm project details throughout the sales process.
- Implement requested changes and communicate updates to the appropriate internal teams.
Help Drive Accurate Financial Operations
- Review technician expense reports with Account Executives and help finalize billing activities.
- Complete final invoicing within established timelines.
- Support the accuracy of deposits, invoicing, credit applications, certificates of insurance, and collections activities.
Coordinate Cross-Functional Communication
- Work with Account Executives, Account Managers, and internal departments to resolve questions related to quotes, contracts, and client needs.
- Help ensure project information is properly communicated and documented throughout the lifecycle of each opportunity.
Manage Project Details and Resources
- Support project cost and margin management by following established processes and procedures.
- Coordinate labor requirements and scheduling updates with labor planning teams.
- Assist with equipment-related requests, including add orders, substitutions, and related project adjustments.
What You Bring
- High school diploma or equivalent.
- 2-3 years of administrative experience.
- Strong communication skills and the ability to collaborate across multiple teams.
- Excellent attention to detail and commitment to accuracy.
- Effective time management and organizational skills.
- Adaptability in a changing, deadline-driven environment.
- Ability to learn processes, systems, and workflows quickly.
