Job Description - Production Coordinator

Provides overall day-to-day client service and production support to ensure the effective execution of brand experience and training client projects. The position encompasses support in operations, production, logistics, project tracking, resources/ recruiting, vendor management, and financials. Co-leads internal and client teams on small to medium sized projects.

Works under general supervision or direction (employee consults with manager regarding unusual situations)

Reporting and Working Relationships

Title of Manager:  Director, Client Services

Title of Direct Reports:  N/A

Title of Peers:  Production Coordinator

Internal and External Contacts:  Maintains working relationships with Producers and other project personnel, creative studio and outside suppliers. Will interact frequently with all levels of clients. Works directly with internal and project team.

Primary Responsibilities

50%

Production Support: Captures and manages meeting notes and status reports; Creates and maintains contact and equipment lists; Coordination of equipment, production, supplies and shipping; Program material preparation; Budget tracking; Coordinates adhoc logistics details; Maintains tour and production schedules; Provides onsite support for events and video/ photoshoots; Provides travel coordination and planning; Provides facilitator coordination support with invoicing, communication and logistics; Provides meeting prep support

Vendor & Freelance Support: Supports new vendor/ Independent Contractor qualification, contracts & set-up processes; Provides support to all Freelance staff in their contract and onboarding processes, ongoing daily support and termination processes.

Administrative Support: Proactively orders office/ /project supplies. Provides financial support by opening, adjusting and closing out PO’s for IC’s and vendors; Process IC and vendor invoices for payment; Process Start Work Authorizations; Open project & tasks numbers; Support management and resources with ad hoc requests including project specific needs

Education or Equivalent Work Experience

Required: Bach. Degree

Qualifications

1. Bachelor’s degree in marketing, communications or business required

2. 0-2 years of client services, product management and or agency experience preferred

3. Ability to lead internal teams and build relationships with team members and internal clients, advocating both for the brand and the agency

4. Willingness to learn all aspects of the business

5. Excellent written, verbal communication and active listening skills required

6. A proven self-starter with excellent attention to detail

7. Proficiency in Adobe Creative Suite and Microsoft Office products.
