Production Coordinator
you are responsible for scheduling tasks and advertisements for the graphic design team within your pillars, managing and reporting on co-op funds, coordinating and distributing assets to the store, communicating promotions to stores, and other administrative activities as assigned. You will assist the Production Manager in maintaining and communicating the marketing schedule to maintain overall project schedules and ensure the timely and accurate delivery of all advertising materials.
This full-time position requires the ability to work
on-site
and all scheduled shifts between the business hours of Mon-Fri 8 am to 5 pm. This shift can include working weekends and certain holidays and will require flexibility in scheduling based on business needs.

Responsibilities:
Supports the graphic design team and production manager with the most up-to-date information through accurate and timely updates to Microsoft Teams with individual records in ClickUp that capture all relevant details and progress associated with each project ensuring the timely and accurate ordering and delivery of all advertising materials
Receives, prioritizes, and schedules all design requests as submitted by the purchasing team
Monitor progress, route, obtain edits, approvals, and sign-offs and enforce deadlines of all design projects
Review jobs for accuracy and completeness of all assignments before publishing and work with team members to complete/correct information
Process projects in a timely manner and manage according to agreed upon schedules and budget, communicating status of all projects to project leader and directors and/or executives as applicable
Oversees the co-op advertising program by collecting co-op information from the purchasing team and external vendor partners to formulate an executable co-op budget and plan
Develop and send a monthly performance report on co-op collections
Oversee the payment of invoices, ensuring that they are allocated to the appropriate accounts for accurate reporting and budgeting purposes
Communicates promotions and signage on a weekly basis with store teams
Executing our promotional plan:
Ensure assets from purchasing team are delivered on time and in an organized manner before handing off to the design team
Establish and schedule a routine three-stage proofing process with purchasing and design team ensuring adequate time is given to execute changes and keep the project on time
Regular communication to store teams with changes and updates to mailer program, store signage and promotional schedule
Assist the Marketing Director in maintaining an up-to-date 12 month rolling calendar and promotional schedule
Submit co-op funding to vendors and assist in actively identify areas of opportunity to submit co-op
Work with the Marketing Director and Production Manager to schedule advertising on various mediums including but not limited to:
Run of press (newspaper advertising)
Radio advertising
TV advertising
Billboard advertising
In-store TV advertising
Cloud cover
Reader boards
Geotargeting
Paid social media
Web updates
