General Expectations: This is a part-time position, designated at up to 20 hours per week with flexible scheduling. The role is primarily remote, with occasional in-person meetings or events as needed. Work hours will be coordinated with the Operations team and direct supervisor to support organizational needs. Any hours beyond 20 per week must be pre-approved by the Executive Director and will be compensated in accordance with applicable wage and hour laws. We recognize that employees may hold additional professional commitments; any potential conflicts of interest should be communicated to the supervisor as early as possible
Compensation: $27.00/hr
Benefits: This is a part-time position during Outfest’s reconstruction phase. As such, no traditional benefits (such as health insurance or paid time off) are currently offered.
Roles and Responsibilities
Position Summary: The Production Manager oversees and executes all production elements for the Outfest NEXT event and related programming. Responsibilities include managing rentals, signage, receptions, red carpets, step-and-repeats, and production inventory. This role supervises paid staff and volunteers, ensuring efficient logistics, clear communication, and high-quality event execution. Strong organizational skills, adaptability, and a collaborative approach are essential. The position is remote-hybrid, with in-person staff meetings and full on-site presence required during the event dates of July 23 - 26, 2026.
Venue and Event Production
Supervise production and audience experience at event venues, including décor and signage, rentals, licenses, telephone, and internet setup (if applicable).
Secure all necessary rentals (e.g., tech/av, tables, furniture, staging) for screenings, parties, and special events.
Set up and manage off-site box office operations, including telephone and internet connections.
Schedule and coordinate all reception production needs during the event, from replenishments and furniture staging to other on-site requirements.
Collaborate with Supervising Producer and Event Manager to ensure compliance with patron and staff safety requirements in securing appropriate insurance for all event sites.
Staff Leadership & Collaboration
Train and supervise Production Assistants, and Special Events volunteers.
Work closely with all departments to ensure production needs are met across programs and events.
Manage the distribution of sponsor-donated products throughout the event.
Budget & Administration
Maintain and manage the departmental budget, providing regular updates to the Senior Operations Manager and Executive Director.
Maintain accurate financial records by logging and organizing all necessary budget documents, including receipts and invoices.
Provide timely reporting and documentation as required.
Logistics and Scheduling
Develop and manage the master production schedule for event venues, screenings, receptions, and special events.
Coordinate load-in, setup, strike, and load-out schedules across venues.
Schedule production staff, and volunteers to ensure coverage for all event activities.
Attend production meetings, site visits, and walkthroughs to ensure all logistics are addressed in advance.
Travel locally as needed for meetings, site checks, and event oversight.
Qualifications
Minimum 3 years of experience in production management for film festivals, live events, or related industries.
Strong background in event logistics, including venue operations, rentals, permitting, and safety compliance.
Experience supervising staff and volunteers, with proven ability to train, schedule, and lead teams effectively.
Excellent organizational and time-management skills; able to oversee multiple projects simultaneously under tight deadlines.
Strong vendor relationship management skills.
Familiarity with permitting processes (fire, health, liquor, building) and working with city agencies.
Proficiency in Microsoft Office and Google Suite; experience with inventory or production management systems a plus.
Excellent communication and collaboration skills; able to work effectively across departments.
Calm, adaptable, and solutions-oriented under pressure, with a focus on delivering high-quality audience and guest experiences.
