The Program Aide provides general support to ensure the effective operation of the Parent-Child Education Program (PCEP). This position supports the implementation of daily program activities in alignment with AVANCE’s mission, policies, and compliance standards. The Program Aide also performs routine administrative tasks, conducts follow-ups with participants, and helps prepare toy-making activities for program delivery at both the center and with the mobile team according to the fidelity of the program.
Job Responsibilities

- Demonstrate knowledge of and adherence to AVANCE policies, operational standards, procedures, and relevant laws and regulations.
- Assist with recruitment and enrollment for the Parent-Child Education Program (PCEP).
- Track and report attendance, ensuring parents sign in for each session and event.
- Maintain daily communication with program participants via phone, email, and text to encourage ongoing engagement.
- Promote and track family participation in program activities and services to support consistent involvement.
- Purchase and prepare materials for parenting education, toy-making, and children’s activities.
- Support the preparation and distribution of meals during program sessions.
- Maintain organization and upkeep of program supplies, materials, and inventory.
- Prepare toy-making activities by cutting, tracing, packing, sorting, and creating handouts; may include sewing or similar tasks.
- Manage inventory records and provide support for budget documentation and purchasing.
- Participate in staff meetings, school functions, and community events to support recruitment and program visibility.
- Work occasional evenings and weekends as needed.
- Perform other duties as assigned to support the overall success of the program.
Education
Required:
- High School Diploma or GED, with formal training in business office procedures, office systems, business communications and computer literacy.
- Proficiency in MS Office with expertise in Microsoft Word, PowerPoint, and Excel.
- Ability to analyze and revise operating practices to improve efficiency.
- Detail-oriented and comfortable working in a fast-paced office environment.
- Exceptional communication skills.
- Superior organization skills and dedication to completing projects in a timely manner.
Preferred:
- Associates or Bachelor’s degree
Work Experience
Required:
A minimum of one (1) year of experience program or office assistant experience
Preferred:
A minimum of two (2) years of experience program or office assistant experience
Additional Skills Required
- Spanish fluency required. Must be able to speak and read well in both Spanish and English.
- Strong literacy and effective communication skills.
- Excellent writing, editing, and proofreading skills.
- Proficiency in MS Office software applications with advanced skills using Microsoft Outlook, Word, PowerPoint, Excel, and Adobe Acrobat.

Travel
Travel required locally or long-distance up to 30% of the time for work-related meetings and functions.

Mental and Physical Demands
General office and sedentary. Regularly required to sit; use hands to handle or feel; reach with hands and arms; and talk or hear. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus. Use of personal computing equipment. Maintain emotional control under stress; work with interruptions and deadlines; walking, standing, stooping, bending, pulling and pushing; occasional: lifting/carrying, pulling/pushing 10-30 pounds. Work evenings and weekends as needed.
