The Program Analyst reports to the Director of Community Development and serves as a centralized administrative, compliance, and quality assurance support role across multiple MACC/New Leaf programs. This position is responsible for ensuring programs remain organized, compliant, audit-ready, and operationally supported through documentation oversight, reporting coordination, workflow development, and data integrity monitoring.
The Program Analyst does not function as an operational supervisor, but rather as an infrastructure support position that strengthens program accountability, consistency, and compliance across New Leaf Industries.
This role works collaboratively with Leadership, Program Managers, Coordinators, and direct service staff to support regulatory compliance, reporting requirements, and organizational efficiency.

Essential Duties and Responsibilities
Compliance & Documentation Oversight
Monitor program documentation to ensure compliance with applicable regulatory and funding requirements for City, County, State, and/or Federal entities.
Conduct routine file reviews and documentation audits to support audit readiness.
Identify documentation deficiencies and coordinate corrections needed with program staff.
Maintain organized, accurate, and up-to-date program records.
Track Re-Assessments, Renewals, Authorizations, and required supporting documentation across programs and data systems.
Senior Nutrition Support
Support Senior Nutrition reporting and compliance processes.
Prepare and organize documentation required by Passages and other oversight entities.
Serve as a primary Administrative Liaison to Passages related to reporting, documentation requests, and compliance coordination.
Track required nutrition documentation, Assessments, and supporting records.
Data Integrity & Reporting
Monitor Electronic Health Record (EHR) systems and related databases for data accuracy and completeness.
Maintain data integrity across multiple programs and reporting systems.
Prepare operational, utilization, and compliance reports as requested by Leadership.
Support reporting tied to program performance, budgeting, and utilization trends.
Workflow & Administrative Support
Develop and organize SOPs, workflows, forms, and administrative processes.
Support cross-Team coordination related to compliance and reporting functions.
Assist Leadership with implementation of organizational systems designed to improve efficiency and accountability.
Provide administrative project support for developing and expanding programs.
Quality Assurance
Support assessment quality assurance processes to ensure consistency and completeness.
Review documentation practices and recommend workflow improvements where needed.
Assist with preparation for audits, monitoring visits, and compliance reviews.
Knowledge, Skills, and Abilities
Strong organizational and administrative skills.
Ability to manage multiple projects and deadlines across the team.
Strong attention to detail and documentation accuracy.
Ability to interpret and apply program requirements, policies, and procedures.
Proficiency in Microsoft Office, spreadsheets, and electronic documentation systems.
Ability to maintain confidentiality and professionalism.
Strong written and verbal communication skills.
Ability to collaborate with multiple team members and the Leadership Team.
Preferred Qualifications
Experience in healthcare, social services, nonprofit operations, public health, nutrition services, or community-based programming preferred.
Experience with compliance reporting, quality assurance, or program administration preferred.
Familiarity with EHR systems, audit preparation, and documentation standards preferred.
Degree in a related field or equivalent work experience in related field/area preferred.
Experience working with grant-funded programs preferred.
Work Environment
This position primarily functions in an office and administrative support capacity but may occasionally assist with on-site program coordination, monitoring activities, or operational support across various program locations.
