Roles and Responsibilities:
Administrative/Front Desk:
- Provide assistance and coverage to the daytime Program Assistant as required.
- Open and close offices ensuring rooms are prepared for the day or the next day, including managing sound machines, and stocking tissue paper, lined paper, pens, and clocks.
- Print, post, and assign rooms for clients' daily schedules when necessary.
- Handle phone calls, directing callers to the appropriate staff or taking messages.
- Maintain a log of client daily sign-in/attendance and send daily updates on absences to the CCO& Billing Manager.
- Maintain cleanliness and organization of the front desk, supply closets, session rooms, and community spaces, restocking snacks and other items as needed.
- Update schedules with real-time information, inform staff of canceled sessions and notify clients of last-minute changes or canceled sessions.
- Assist Directors with various projects/tasks and maintain the project planner master list.
- Review written documentation and policies, making necessary edits.
- Co-facilitate CARF quarterly meetings with the CCO and record meeting minutes.
- Fulfill other tasks as assigned by the CFO and CCO
- Content Creator
- Assist CEO in crafting engaging content for various platforms including social media, newsletters, and blogs
- Health and Safety Officer Responsibilities:
- Provide CARF support for policies and procedures.
- Maintain Cal/OSHA and emergency postings and procedures.
- Process and maintain critical incident reports.
- Ensure internal and external inspections occur as scheduled.
- Update the Safety Data Sheets folder and follow daily safety and hazard protocols, advising clients and staff when necessary.
- Maintain and update the Safety Manual as needed.
- Conduct and document emergency drills.
- Keep the client and staff emergency contact folder up to date weekly.
- Update client electronic medical records with emergency contact information as required.
- In addition to these responsibilities, the Program Assistant may provide Client Support Services as necessary, including monitoring and checking in with clients.
Education/Experience: High school graduate or equivalent preferred and at least 1 year experience working in the mental health field. Advanced experience with computers is required. Experience with EMRs is desired but not necessary.
Qualifications:
- Proficiency in EMR, Google Suite, and Office Suite.
- Demonstrated experience in creating engaging social media content.
- Previous experience in a mental health setting is preferred.
- Strong communication and interpersonal skills.
- Ability to thrive in a fast-paced environment and meet deadlines effectively.
- Proactive mindset with a passion for innovation and continuous improvement.
- Must work well with diverse populations.
- Must utilize Age, Disability, and Cultural Specific knowledge in working with specialized populations to best communicate with those clients.
- Must be in good physical and mental health as evidenced by a warm empathetic attitude, respect for dignity, worth, and potentiality of clients, and hold a high sense of personal integrity.
- Must be able to work autonomously and in teams.
