Reporting directly to the Assistant Dean of Students and Director of Community Living, the Program Assistant serves as a key member of the Office of Community Living team by providing administrative, operational, programmatic, and student support services across multiple functional areas, including Residence Life, Off-Campus Living, the Food Pantry and Basic Needs initiatives, Health Promotion Services, and Student Conduct.Full Job Description:
Utilize daily duty reports to track student concerns and support follow-up efforts.
Support student staff recruitment and selection processes, including scheduling interviews and coordinating logistics.
Assist with onboarding and transition processes for professional staff.
Assist with administrative support for residential education initiatives and programs.
Serve on departmental and divisional committees as assigned.
Support assessment and data collection efforts related to residential student success and engagement.
Assist with marketing and advertising for Off-Campus Living programs and services.
Assist with data collection and assessment related to outreach efforts, appointments, and student engagement.
Maintain and update the Off-Campus Living website.
Effectively communicate the San Francisco housing search process and rental market trends through social media, presentations, newsletters, and other communication platforms.
Plan, create, and manage original text, image, and video content for Off-Campus Living social media accounts.
Coordinate and support Off-Campus Living projects throughout the academic year, including newsletters, educational programming, workshops, presentations, tabling events, and resource development.
Serve as a knowledgeable resource regarding off-campus housing, tenant rights and responsibilities, neighborhood resources, transportation options, and the student off-campus living experience.
Connect students and families with campus and community resources related to housing, transportation, food security, safety, and basic needs.
Host virtual and in-person appointments with students seeking support related to housing searches, roommate concerns, lease questions, neighborhood navigation, and other off-campus living matters.
Assist with the development and implementation of educational initiatives that support student success and responsible community engagement while living off campus.
Collaborate with campus partners and community organizations to expand resources and support available to students.
Maintain records and assessment data related to Off-Campus Living services and initiatives.
Receive direction and assignments from the Associate Director for Community Living in support of Off-Campus Living operations and strategic initiatives.
Coordinate the operation of the university Food Pantry.
Develop pantry schedules and coordinate advisory board meetings.
Order and purchase food and supplies for pantry distribution.
Manage pantry usage data and assessment efforts utilizing university IT systems.
Supervise student employees and volunteers supporting pantry operations.
Serve as liaison to local farms, retailers, food banks, and community organizations to increase donations and partnerships.
Collaborate with Advancement and campus partners to support fundraising efforts and resource development.
Assist students with accessing food security resources and other basic needs support services.
Provide information and assistance related to CalFresh eligibility, application navigation, and referrals to community-based resources.
Support campus-wide education and outreach efforts focused on basic needs security and student well-being.
Serve as a resource regarding student conduct policies and procedures.
Support student conduct processes through scheduling meetings, maintaining databases, uploading sanctions, placing holds, preparing correspondence, and coordinating logistics.
Manage calendars and schedules for Student Conduct professional staff.
Monitor and enter community standards fines.
Prepare expense reports and purchasing requests.
Monitor and respond to inquiries received through departmental email accounts.
Administer disciplinary checks for campus partners, transfer students, and external agencies.
Coordinate marketing and logistics for annual educational initiatives, including Integrity Week.
Provide front-line support, triage, and problem-solving assistance for students, families, faculty, and staff.
Manage the calendar and scheduling needs of the Assistant Dean of Students.
Maintain filing systems, records, and tracking mechanisms.
Prepare expense reports and purchasing documentation.
Assist with correspondence, reports, presentations, and departmental communications.
Manage and monitor the Office of Community Living budget.
Maintain and update the Office of Community Living website.
Manage the calendar and scheduling needs of the Senior Director of Health Promotion Services.
Provide administrative and clerical support as needed.
Administer and oversee the health insurance waiver process for international students.
Serve as a back-up receptionist and resource for students seeking support and information.
Assist with special projects, communications, and educational initiatives.
Provide support and coverage for front desk operations as needed.
Deliver exceptional customer service to a diverse campus community.
Assist with resolving concerns and inquiries from students, families, faculty, staff, and community members.
Assist with reviewing and improving departmental business processes and operational efficiencies.
Coordinate projects from inception through completion.
Maintain confidentiality and appropriately handle sensitive information.
Assist with basic administrative functions for the Office of the Dean of Students in the absence of the Assistant to the Dean of Students.
Perform other duties as assigned.
Post-secondary education or equivalent combination of education and experience.
Minimum of five years of progressively responsible administrative, programmatic, or customer service experience.
Ability to work independently with minimal supervision.
Ability to drive and have a license to drive.
Strong organizational, communication, and problem-solving skills.
Ability to manage multiple priorities and deadlines simultaneously.
Proficiency with current office technologies, databases, and communication platforms.
Demonstrated commitment to customer service and collaborative teamwork.
Ability to work effectively with diverse populations.
Experience working in higher education, student affairs, or related settings.
Experience managing social media platforms and digital communications.
Experience creating marketing materials, presentations, and educational content.
Knowledge of student development principles and practices.
Familiarity with housing resources, tenant education, and off-campus living support services.
Experience planning programs, events, workshops, and outreach initiatives.
Experience with assessment, reporting, and data management systems.
Full-time position.
Some evening and weekend work may be required.
Ability to travel locally within San Francisco for community partnerships, resource development, and student support initiatives as needed.
