Job Summary
Reporting to the Associate Vice Provost of Professional and Continuing Education (AVP-PACE) and receiving work lead direction from the Associate Director of PACE Operations, the Program Coordinator will work independently under general supervision on a wide range of programmatic, operational, and administrative projects.
The incumbent, working in a team as well as independently, will provide support in developing, researching, and analyzing program data to track program/course viability and sustainability. S/he serves as a liaison and a resource to actively engage with students and instructors while providing accurate and timely information on policies and operating procedures. The incumbent works collaboratively with the various units within Professional and Global Engagement and external stakeholders in areas of student relations; development and coordination for outreach and communications; curriculum development support, instructional planning, and scheduling support; faculty recruitment and evaluation support; data analysis and process improvement.
Key Responsibilities
Utilize appropriate systems and databases to maintain and nurture program leads, assist with yield management
Compile, organize and disseminate reports and queries to stakeholders
Act as a resource for external and internal stakeholders on Professional and Global Engagement, programs, resources, policies, procedures
Provide current and prospective students accurate and current information on university/Professional and Global Engagement programs, policies and procedures; explain program objectives, schedules
Research, troubleshoot and resolve operational issues for student or instructor on programs and courses
Represent and/or assist the Professional and Global Engagement at events to promote student recruitment and student support initiatives
Provide support in the development and maintenance of programs and courses, including, but not limited to, preparation of budgets, coordinating logistical facility needs
Prepare appropriate forms, reports and documents to track progress and program effectiveness
Analyze program data and make recommendations on process improvements
Evaluate program structures and make recommendations to streamline processes and procedures
Maintain an awareness of federal and state legislation and policies that impact program delivery and operations
Provide program coordination for programs and courses for the Professional and Global Engagement
Coordinate all logistics for non-credit courses--e.g., course proposals, registrations, payments, grades, transcripts
Knowledge, Skills & Abilities
Ability and familiarity in rapidly adapting and effectively utilizing new technology, practices, policies and methods
Working knowledge of application databases (PeopleSoft, Salesforce, etc.).
Proficiency in Microsoft Office Suite
Ability to analyze records, program information and communications
Ability to research problems, identify errors and make corrections
Excellent organizational skills and priority-based decision-making
Ability to research and acquire skills in other appropriate applications to create necessary forms
Communicate effectively both orally and in writing
Ability to analyze, disseminate and communicate information to contribute to effective assessment of programs
Ability to research practices, identify inefficiencies and/or opportunities
Excellent organizational skills to queue tasks appropriately
Attention to detail and accuracy
Ability to communicate with constituents in a professional and respectful manner
Required Qualifications
A Bachelor's Degree and/or equivalent training
Administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs
Preferred Qualifications
Master’s Degree in business or related field
Minimum of one-year higher education experience in one or more of the following: academic planning, program support, student recruitment or support services
Experience with SIS, particularly PeopleSoft
Experience with CRM, particularly Salesforce
Demonstrated attention to detail (as evidenced by application materials)
Compensation
Classification: Administrative Analyst/Specialist; Non-Exempt
Anticipated Hiring Range: $4,905/month - $5,350/month
CSU Salary Range: $3,518/month - $6,791/month

Additional Information
Satisfactory completion of a background check (including a criminal records check) is required for employment. SJSU will issue a contingent offer of employment to the selected candidate, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was offered the position on a contingent basis.
