Job Description - Program Coordinator

Minimum Experience/Education:

Bachelor’s degree or1-2 years of relevant work experience. Nonprofit or executive assistant experience is a plus.

Your mission : be the hyper detail-oriented internal “engine” that powers the delivery of Compass Pro Bono programs across the country.
This role is part executive assistant, part records guru, part customer service representative, part event logistics coordinator, and part process innovator.
To be successful in this role, you will: be obsessed with attention to detail; comfortable with, and competent at, simultaneously juggling multiple detail-oriented projects and working with multiple internal stakeholders without dropping any balls; and be at ease in a fast-paced, business tech-saturated work environment.
The position may be based in any of Compass Pro Bono’s four metro regions – Chicago, IL; Philadelphia, PA; Minneapolis-St. Paul, MN; or Washington, DC. If based in DC, the Program Coordinator will work 2-3 days per week in-person at the Compass Pro Bono headquarters office and remotely the rest of the time. If based elsewhere, the Program Coordinator primarily will work remotely, but will be required to travel to DC at least 2x/year. The Program Coordinator also may occasionally be required to travel to other Compass Pro Bono locations. The Program Coordinator is expected to provide occasional evening and weekend support for Compass Pro Bono events throughout the year, with notice. The Program Coordinator will report to Compass Pro Bono’s Program Manager and will work closely with all program and national operations staff across Compass Pro Bono, particularly the national Program Data Manager, national Communications Manager, and national Operations Coordinator.
Responsibilities:

The Program Coordinator is responsible for helping ensure high-quality delivery of all programs across all Compass Pro Bono regions. The position is part of the national team and has six “clients” -- the Philadelphia and DC Program Directors, the Chicago and Twin Cities Managing Directors, and the On Board and On Demand Directors. Specific responsibilities include:
Support nonprofit client recruitment, selection, and onboarding
Customize nonprofit-facing program materials (e.g. info session decks, training decks, etc…) for the needs of each region and/or program (30-50 decks/year)
Customize content, and prepare mail merges, for all mass direct communications with nonprofit applicants and clients (e.g. communications about application status, client onboarding, client surveys) (30-50 mailings/year)
Coordinate logistics for monthly nonprofit info sessions and support logistics for targeted nonprofit info sessions
Coordinate logistics for nonprofit client trainings (10-15/year)
Compile client application data for use in the client selection process (300-500 records/year)
Coordinate logistics for Client Selection Committees, including setting up meetings, managing attendance, preparing materials, and taking notes (8-10 meetings/year)
Prepare, collect, and maintain records of client project materials and engagement letters (150-250/year)
Support rapid response to nonprofit clients’ technical and resource-related inquiries (e.g. applications and surveys, onboarding documents, etc…)
Support volunteer recruitment, selection, matching, and onboarding
Maintain the digital library of On Track toolkits and ensure appropriate levels of volunteer access to individual toolkits
Customize volunteer-facing program materials (e.g. info session decks, training decks, etc…) for the needs of each region and/or program (30-50 decks/year)
Coordinate logistics for monthly volunteer info sessions and support logistics for targeted volunteer info sessions
Coordinate logistics for all volunteer trainings (15-20/year)
Customize content, and prepare mail merges, for all mass direct communications with prospective and selected volunteers (e.g. communications about application status, volunteer training, volunteer surveys) (50-70 mailings/year)
Compile volunteer application data for use in volunteer selection process
Manage volunteer team Shared Drives
Track the completion of volunteer waivers (400-600/year)
Support rapid response to volunteers’ first-level inquiries (e.g. walk them through how to access free video conferencing tools, service line toolkits, and project documents) and coordinate with Operations Coordinator to troubleshoot volunteers’ technical inquiries (e.g. Toolkit access; team Google Drive folders)
Support quality and growth of all programs
Mail merge and disseminate targeted program partner communications (e.g. business school alumni groups, corporate amplifiers, etc.) (20-40 mailings/year)
Collect, organize, and maintain -- in an easily-searchable digital library – all program resources – including training materials, service line toolkits, and volunteer consultants’ project deliverables
Handle all logistics – including event logistics, guest registration and RSVPs, event collateral adaptation, and updating attendees’ Salesforce records – for all virtual program events, such as info sessions, trainings,

Selection Committee meetings, and Project Leader forums (25-40 events/year)
Coordinate logistics – including event logistics, guest registration and RSVPs, event collateral adaptation, nametag management, and updating attendees’ Salesforce records – for in-person program events, such as volunteer happy hours and end of year program celebration (10-15 events/year)

Experience with Google Suite, Slack, Salesforce, and/or Canva are a strong plus
Compensation
Starting salary for this full-time role is $40,000-$45,000, commensurate with experience.
