Job Summary
The Sandra Day O'Connor College of Law at Arizona State University seeks a Program Coordinator for its growing graduate degree programs, including but not limited to both the ground and online Master of Legal Studies (MLS) and Master of Human Resources and Employment Law (MHREL), etc. The successful candidate will support the day-to-day functions of the graduate program to ensure its continued success and future growth, under the guidance of the Associate Dean of Graduate Programs and New Education Initiatives.
Salary Range: $45,000 - $52,000 per year; DOE
Essential Duties:
The successful candidate will be responsible for and have duties in the following areas:
Manage call and email inquiries regarding the different graduate degrees offered by the College of Law in a timely, efficient manner.
Perform various administrative duties on a daily basis, such as data entry and maintaining spreadsheets, document and word processing, packet and material preparation, photocopy and/or scanning.
Provide academic support services to the College of Law Graduate Program faculty.
Provide academic support services to the graduate programs administered by the College of Law.
Generally advises students on classes, degrees, internships, and counsels students on students’ pathways, goals, interests, and skills in addition to resolving student concerns, questions, or issues and referring them to the appropriate source of more specific information.
Plan and execute the Graduate Program’s events such as conferences; alumni, partner, and family events; receptions; graduation events; and other select College of Law events.
Develop, compile and write communications for distribution.
Assist in recruitment efforts for the Graduate Programs.
Coordinate the process from development through printing and distribution for all recruitment materials.
Assist with the marketing and communication efforts, including the Program’s website (content development), social media, and student recruiting; work directly with the College of Law’s Marketing and Communications staff in promoting the Graduate Programs in University and external publications.
Provide support to student and alumni relations and engagement – e.g., maintaining alumni database, coordinating outreach campaigns, etc.
Support the Assistant Dean in the admissions process for Graduate Program applicants.
Provide support to graduate programs in fundraising activities as necessary.
Administrative: Responsible for managing executive calendars, setting up meetings and conference calls, and related scheduling tasks; planning and coordinating travel and reimbursements; document meetings, progress, and next steps for major graduate program projects (including following up on tasks identified and assigned in meetings, etc.); handle processing of travel for events.
Physical presence at the workplace is an essential function of this position.
Additional duties or special projects as assigned to support the goals of the department and/or ASU.
Desired Qualifications:
Experience in business, law, and/or higher education experience (2 years preferred);
Demonstrated knowledge of higher education.
Experience working in a superior customer service environment.
Experience in work that requires organizational, event-planning, and project management skills.
Experience managing an executive calendar and making travel arrangements - Concur experience preferred.
Experience with expenditures and reimbursement processes.
Experience in working collaboratively with supervisors, colleagues, faculty, law school administration and external constituencies.
Experience working with and around students and young professionals.
Experience with Microsoft Office (word, excel, outlook, PowerPoint), Blackboard or Canvas skills, PeopleSoft, Salesforce, and/or Unite admissions software.
Evidence of effective communication skills
Working Environment:
Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse.
Required to stand for varying lengths of time and walk moderate distances to perform work.
Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
Ability to clearly communicate to perform essential functions.
Use standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor and mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
