The UW Medical Center – Montlake Operating Rooms have an outstanding opportunity for a Program Operations Specialist - Prosthesis.
WORK SCHEDULE
Full-Time / 40 hours per week

POSITION HIGHLIGHTS
Perform advanced operational and supervisory work in support of implant coordination services across two hospitals and four operating room locations within UW Medicine
This position functions with substantial independence, exercising judgment in the application of established policies, procedures, and collective bargaining agreements to ensure the reliable day-to-day operation of implant services
The role assists manager in the oversight and supervision of six Implant Coordinators, ensuring appropriate staffing coverage, workflow execution, regulatory compliance, and service quality in a unionized clinical environment
The position supports patient care delivery by maintaining operational readiness and resolving complex operational issues that require interpretation of guidelines, coordination across departments, and prioritization of competing demands
PRIMARY JOB RESPONSIBILITIES
Partner with Program Operations Manager to perform ongoing oversight of daily implant operations, applying established standards and procedures across multiple hospital campuses and OR locations.
Exercise independent judgment in resolving operational issues related to implant availability, vendor coordination, documentation accuracy, and workflow disruptions.
Prioritize and coordinate implant workload based on surgical schedules, urgency, staffing levels, and operational constraints.
Serve as the primary point of operational authority for implant coordination activities during assigned shifts or coverage periods.
Facilitate compliance and accuracy for contracting, reimbursements and denials - serves as point person to resolve billing issues and monitors/escalates budget variances.
Provide assistance to Program Operations Manager to support staffing oversight, including assigning work, monitoring performance, approving time, ensuring adherence to operational expectations, and partnering with manager to support performance management.
Conduct onboarding, training, and competency development consistent with departmental standards and regulatory requirements.
Ensure consistent application of implant workflows, including inventory coordination, consignment and loaner management, recall processes, and implant traceability.
Serve as a key operational liaison among implant coordinators, perioperative surgeons and staff, supply chain, and vendor representatives.
REQUIRED POSITION QUALIFICATIONS
Bachelor's degree and 2-3 years of experience in:
Experience in implant operations and/or inventory control practices
Experience with health care regulatory compliance
Experience with building staff competency, process standardization and improvement.
Proficiency in adopting and leveraging various software programs (i.e. Epic, MS Office applications, TrackCore)
Demonstrated experience working within a unionized environment or applying collective bargaining agreements.
Ability to work independently while collaborating effectively with clinical and administrative partners.
