Job Description - Program Partner Support Specialist

Description

Responsible for providing PWNA Program Partners with strong support service along with solid project planning for their communities where we work. Responsible for maintaining positive, long-term relationships with these partners.  

  

Essential Functions:

· Work cooperatively and closely with PDCs handling Program Partner problems or concerns.

· Review reports submitted by active Program Partners to ensure that all program services are executed according to the guidelines established.

· Monthly positive communication with program partners (email, letters, etc.)

· Contact Program Partners via phone call/email to:

o Follow up after deliveries (7 day calls)

o Follow up on reports that indicate Program Partners are not following PWNA service guidelines

o Follow up when reports from program partners are incomplete or information is needed, to aid in timely reporting.

o Provide education to new Program Partners about PWNA services (guidelines, requests, reports)

o Resolve late reports

· Provide good information to the Program Partner web site

· Update and record data from Program Partners – measurable indicators, reservation information and feedback.

· Coordinates all field trips with Partnership Development Coordinators (PDCs) and other PWNA staff for trip effectiveness. 

· Works with Program Partners and assists with the development of incentive programs and providing program information to new Program Partners.

· Oversee the training of all new employees and continued training of all current employees.

· Ensure that all PWNA service guidelines are reviewed and revised according to the PWNA program development format annually. Amend PWNA service guidelines more regularly as necessary changes are identified by staff.

· Ensure that all program staff are well versed in the development, guidelines and structure of each program offered through the office.

· Develop new services according to the PWNA development format as new needs arise.

· Give strategic direction staff on where to focus their efforts to ensure we are touching the areas of greatest need and being mindful of efficiency in distribution.

· Monitor spending. Keep costs down without compromising services

· Promote PWNA services.

· Ensure that all fundraising requirements are met.

Work cooperatively with the Program Information Specialist to gather information needed by the fund-raising departments of PWNA.

Requirements

  

Secondary Functions:

  • Visit PWNA program sites and distributions on reservations      regularly to stay familiar with the service area and partners, meet with      tribal officials, and monitor program quality and stay connected with the      purpose of our programs. 
  • Provide a weekly report to Operations Manager summarizing the      week’s events
  • Attend and actively participate in PWNA program meetings, 
  • Interface with other Operations Manager regularly to share      information, ideas and support.
  • Administer special projects: 

o Produce Distribution 

o Thanksgiving 

o Winter Fuel

o Holiday (Christmas)

o Program Partner Website

o Animal Welfare Service 

o Program Partner Newsletter

o Summer/Winter/ Emergency Boxes

o Other projects as needed

Work Conditions: 

Hours: Monday through Thursday, 6:00 AM -4:30 PM (30-minute lunch)

Overtime may be required

Some travel required up to 30%

Work is primarily indoors.

Job Scope:

Develop and maintain effective means of support and field work with Program Partners and PWNA staff.

Job Skills:

  • Strong communication skills, oral and written
  • Strong customer service skills and interpersonal skills
  • Ability to think outside the box. Continuous improvement in      addressing current processes and procedures.
  • Strong project management and organizational skills
  • Strong work ethic.
  • Computer literate.

Education:

College Degree preferred 

Experience working with Native American reservation or tribal programs

Must have a valid driver’s license
