Job Description - Program Specialist

Description

The mission of Girls Inc. of Greater Indianapolis is to inspire all girls to be strong, smart, and bold. We empower girls to be confident in themselves, prepared for their futures, and ready to take their place in the world. The Program Specialist supports the coordination and execution of evening programming, special events, field trips, and other program initiatives. This role engages directly with participants, supports program delivery, and manages key logistical and administrative functions. The Program Specialist plays a critical role in ensuring high-quality program experiences through effective operations, accurate data management, and strong cross-team collaboration.

Program Coordination & Facilitation

· Coordinate and facilitate secondary programs focused on college and career readiness, leadership, workforce preparation, and other mission driven programming.

· Support participants goal setting, capstone projects, and progress tracking.

· Build positive relationships with participants and families to support engagement, retention, and growth.

· Implement program goals and outcomes and support progress toward defined measures of success.

· Ensure programming is developmentally appropriate, aligned with Girls Inc.’s values and achieved defined outcomes.

· Support the implementation of new programming initiatives and partnerships.

· Apply risk management practices and communicate policies to participants, families, and partners.

Program Logistics & Operations

· Coordinate and support (including possible facilitation) evening and weekend programming, including schedules, agendas, space setup, breakdown, on-site support and field-trips.

· Arrange food, transportation, guest speakers and partner involvement.

· Support attendance tracking and day-of operational needs across all program offerings.

· Ensure program spaces are organized, safe, clean, and aligned with Girls Inc.’s standards.

· Support participant recruitment and retention, maintaining a minimum of 80% program capacity.

Data & Documentation Responsibilities

· Complete accurate and timely attendance and demographic data entry in Compass.

· Maintain clean, consistent records and documents across systems.

· Track and report progress on key programmatic metrics.

Additional Responsibilities

· Report regularly on progress toward established goals related to programming, participants, and partnerships.

· Participate in meetings, trainings, and professional development.

· Support supply ordering, inventory management, and storage organization.

· Assist with special events and other duties as assigned.


Requirements

· Passion for youth development and a strong advocate for girls’/women’s issues.

· Experienced working with underrepresented youth; culturally responsive and empathetic.

· Strong communication and relationship-building skills with diverse stakeholders.

· Organized and adaptable with the ability to manage multiple priorities in a fast-paced environment.

· Detail-oriented with a strong commitment to accuracy, particularly in data and documentation.

· Evenings and occasional weekends required.

· Knowledge of and experience with socio-emotional development areas for youth.

· Reliable and consistent method of transportation

Education & Experience

· Bachelor’s degree or 2 years of experience in nonprofit studies, education, human development, or related field.

· At least 1 year coordinating youth programs or working with volunteers, community partners, or corporate groups.

· Experience with scheduling, and logistics coordination preferred

· Proficient in Microsoft Office and experience in database systems, and administrative systems
