A candidate with strong experience in Mechanical Construction projects will strongly be considered and interviewed. All candidates must meet the following expectations and be able to work independently with minimal oversight.
Job Responsibilities/Accountabilities
Assist Project Managers with the planning, execution, and closeout of construction projects.
Coordinate project documentation including submittals, RFIs, change orders, purchase orders, contracts, permits, and project correspondence.
Maintain accurate project files and ensure all documentation is organized, current, and readily accessible.
Support project scheduling and coordination activities by tracking milestones, deliverables, and key project deadlines.
Assist with procurement activities including material takeoffs, supplier communication, equipment tracking, and delivery coordination.
Coordinate meetings, prepare meeting agendas, document meeting minutes, and distribute action items to project stakeholders.
Track project budgets, commitments, subcontractor invoices, and cost reports to support project financial controls.
Assist with the preparation and distribution of monthly project status reports and job cost updates.
Monitor subcontractor and vendor compliance requirements, including certificates of insurance, contracts, and lien waivers.
Facilitate communication between Project Managers, Superintendents, subcontractors, vendors, clients, and internal departments.
Assist with project startup activities, including document collection, contract administration, and project setup within company systems.
Support project closeout activities, including punch list tracking, warranty documentation, as-built drawings, and final project documentation.
Coordinate labor, equipment, and material requests to support project execution.
Assist in maintaining project schedules and identifying potential issues that may impact project timelines.
Ensure compliance with company policies, safety regulations, and project-specific requirements.
Maintain professional relationships with clients, vendors, and subcontractors.
Support continuous improvement efforts by recommending process enhancements that improve efficiency and project execution.
Maintain a safe and professional work environment by following company procedures, rules, and regulations.
Supervisory / Budgetary / External Communication Responsibility
No direct supervisory responsibilities.
Frequent interaction with Project Managers, Superintendents, Estimators, Accounting, Purchasing, and Fabrication personnel.
Regular communication with subcontractors, suppliers, vendors, clients, and project stakeholders.
Assists Project Managers with budget tracking and project financial administration
.Coordinates information flow between field personnel and office support teams.

Proficiency in Microsoft Office Suite including Word, Excel, Outlook, and Teams.
Experience with construction management software such as Procore, Viewpoint, CMiC, Bluebeam, Autodesk Construction Cloud, or similar platforms preferred.
Understanding of construction documents including drawings, specifications, RFIs, submittals, and change orders.
Ability to coordinate multiple projects simultaneously.
Strong customer service and relationship management skills.
Knowledge of procurement processes and vendor coordination.
Ability to work independently and collaboratively within a team environment.Aptitude to learn new software and systems.
Mechanical, plumbing, or construction industry knowledge preferred.
Prior work experience and educational requirements
Associate's Degree or Bachelor's Degree in Construction Management, Business Administration, Engineering, or a related field preferred.
Minimum of 2 years of experience in construction administration, project coordination, project engineering, or a related role.
Experience working in the mechanical, plumbing, industrial, or commercial construction industry preferred.
Equivalent combination of education and relevant experience may be considered.

The physical demands are those associated with working in a typical office environment and miscellaneous filed travel.
