Position Overview
This position supports Project Managers by overseeing administrative tasks, ensuring resource availability, and managing day-to-day scheduling.
Essential Functions
1. Administrative & Project Support
- Assist Project Managers with planning, scheduling, and coordinating daily project activities.
- Prepare job packets, STAs, permits, JSA forms, and required documentation before the project starts.
- Track and update project schedules, manpower lists, equipment assignments, and material needs.
- Organize project files, reports, and correspondence.
2. Mobilization & Logistics
- Verify that hydro blasting units, vacuum trucks, catalyst rigs, tower tools, and safety equipment are ready before dispatch.
- Communicate with yard personnel to ensure accurate loadouts and returns.
3. Communication & Customer Interaction
- Act as a secondary point of contact for customer updates and administrative communications.
- Relay daily project information between the supervisors and internal departments.
- Help prepare daily progress emails, manpower updates, and shift turnover notes.
4. Documentation & Reporting
- Collect and organize daily job packs, timesheets, equipment logs, catalyst yield sheets, and QA/QC documents.
- Ensure all documentation is complete, accurate, and submitted on time.
- Assist in preparing project closeout packages including photos, production data, and safety records.
5. Safety Support
- Distribute safety documentation, attend safety meetings, and organize training records.
- Ensure crews have correct PPE, permits, and site-specific safety requirements before mobilization.
- Help track incident reports, near misses, and corrective action documentation.
6. Cost Tracking & Billing Support
- Input labor hours, equipment usage, and consumable costs into internal systems.
- Verify ticket accuracy before submitting to accounting/PM Team.
- Track budget changes and notify the Project Manager of discrepancies.
7. Equipment & Resource Coordination
- Support scheduling and tracking of hydro blasting units, vacuum trucks, catalyst screening rigs, and confined space entry equipment.
- Maintain inventory of hoses, nozzles, PPE, filters, bags, packing materials, and other consumables.
- Coordinate repairs, maintenance, and inspections with the shop or fleet department.
8. Compliance & Data Management
- Maintain organized records for confined space entry, LOTO, permits, catalyst documentation, environmental compliance, and waste manifests.
- Assist in generating regulatory or customer-required documentation.
- Ensure SOPs, SDS sheets, and regulations are current and accessible.
9. Support for Continuous Improvement
- Identify opportunities to improve administrative processes, communication, and project tracking.
- Help develop templates, checklists, and standardized reporting tools.
- Support Project Managers and supervisors with implementing new procedures or project workflows.

Required Skills & Qualifications
- Bachelor’s degree in business administration, management, or a related field preferred.
- Proficiency with Microsoft Office

Pay
Schedule
- Monday to Friday - 12:00 pm to 8:00 pm
