Applicants must be currently authorized to work in the United States on a full-time basis. No sponsorship is available for this position.
We invite you to bring your understanding of New York State Agency contractual and financial processes and procedures into play as you guide and support project financial execution and contract compliance for investigation, design, and construction projects. This position is a critical role in providing transparency and insight for project management and drives financial analysis to ensure accuracy of project finances. In addition, this role provides evaluation and reporting of compliance data required for contracts, including but not limited to disadvantaged business and workforce utilization. The successful candidate will have at least 5 years of experience in internal and customer-facing business finance activities with at least 2 years executing financial processes associated with institutional and/or government agency clients or customers. The projects are primarily managed out of the Albany, Syracuse, and Utica, NY offices.

As our new Project Finance Specialist, you will be part of our team of Engineers, Scientists, Construction Managers, and will work closely with Project and Contract Managers to implement and drive efficiencies to our processes as we increase our contract value.In this role you will be part of our project delivery team that coordinates and drives operational excellence in servicing our public agency customers.
Your key tasks and responsibilities will be:
Collaborate with Project Managers (PMs) and internal/external stakeholder to provide guidance, and ensure implementation and appropriate controls for project creation, managing budgets, invoicing, procurement, cash flow, and project closeout. This includes, but is not limited to:

Lead the creation of new project setup, baseline budgeting and revenue projection
Advise PMs on Project Set-Up and Work Break Down structure
Advise PMs on Financial Project Management on Medium to Large Projects
Support projects with complex invoicing and coordinate with Project Admin
Track and report costs and financial data to evaluate project status and progress
Guide and facilitate development of project monthly draft invoices
Guide PMs in invoice review/approval
Advise PMs on risk assessment
Advise PMs with estimate to complete forecasting based on inception to date and project budget, Monitoring, reporting, and analysis of project conformance with respect to financial performance as specified in client contracts and Ramboll’s Project Model.

Support special projects that focus on Process Optimization for Project Controlling
Support development of reporting tools in dialogue with POs, PMs, and stakeholders, ensure deadlines for reporting are kept, providing input for reports and presentations, working with internal personnel to develop reporting tools (e.g., Power BI) for automated and integrated invoicing and reporting solutions.
Track, steward, and report compliance requirements for active Framework Contracts with NY State Agencies, and provide process improvements for existing record-keeping processes and procedures
Collaborate with internal teams and stakeholders to ensure the implementation of appropriate controls and monitoring measures to meet Ramboll’s Project Model requirements
Provide financial guidance to project team in accordance with Ramboll’s Project Model
Coordinate Client communication to track and verify payment status
Interact with subcontractors and vendors to ensure timely invoicing and payment tracking
Provide guidance and support during final project closeout
Set up and progress opportunities in CRM (Client Relationship Management) thru project creation
Mentor developing PMs on financial tracking, budgeting, and invoicing
Up to 10% travel may be required to support project programs

At least 5 years of experience in internal and customer-facing business finance activities, with at least 2 years executing financial processes associated with institutional and/or government agency clients/customers.
At least 2 years of experience with budgeting, forecasting, variance analysis, management reporting, reporting tools, revenue recognition, working capital, and stakeholder management.
Working knowledge of Maconomy and/or related financial management tools and software
Proficiency with MS Office products including MS Project, Excel, and other information technology to effectively direct their use for diverse project assignments and applications.
Associate or bachelor’s degree in finance, accounting, or similar is preferred
Experience in supervising others is a plus

It is an advantage if you have worked with support functions before, demonstrating a proactive and collaborative approach with key stakeholders to develop reports and processes. Strong written and oral communications skills are also essential for this position. You need to be driven and willing to sometimes go beyond your role when needed.
