Project Managers’ Assistant

Jarrod Smart Construction, Co. is a residential custom home builder and remodeler located in Sioux Falls, SD. We are currently looking for a Project Managers' Assistant to perform a variety of administrative tasks to support our company's project managers. We are looking for a person who is detail oriented, a self-starter, has a good attitude, and is able to work independently and on a team. This position is ideal for someone who enjoys a fast-paced environment, is comfortable managing multiple priorities, and takes pride in following through on details.

Essential Job Functions:

1. Provide support to the project managers from preconstruction through final completion by managing calendars, setting up meetings, drafting/editing/filing emails, and preparing written communications on the project managers’ behalf.
2. Manage information flow in a timely and accurate manner to help prioritize project managers’ tasks to ensure deadlines are met.
3. Regularly attend client or trade partner meetings, take minutes during meetings, and help facilitate completion of any action items from meetings.
4. Assist with deliverables to clients, vendors, and other team members, both in preparation of client meetings and after meetings.
5. Track outstanding items and follow up with appropriate team members, subcontractors, vendors, or suppliers.
6. Provide administrative assistance, such as writing and editing emails and preparing communications on the project managers' behalf.
7. Assist with permit, inspection, warranty, and closeout documentation.
8. Assist with project management tasks such as gathering bids from vendors, preparing estimates for client presentations, and documenting all client correspondence.
9. Document project selections, issue purchase orders, manage change orders, and communicate with clients and trade partners effectively through Ressio.
10. Draft and maintain project schedules including documentation of weather delays, on site progress, and added days due to scope changes.
11. Routinely assist with field team members project assignment and communicate assignments with the team.
12. Routinely assist with maintaining the master project schedule to help manage team workload.
13. Plan and monthly safety meetings

Status/Hours/: Full Time Employee. Typical work week will average 40-45 hours per week Monday through Friday. This position includes a combination of working from the office and making jobsite visits as needed.

Requirements:

1. Knowledge of construction processes preferred.
2. Administrative experience.
3. Excellent MS Office Suite knowledge.
4. Outstanding organizational and time management skills, including the ability to multi-task.
5. Ability to handle stress well.
6. Ability to prioritize and make decisions with minimal supervision.
7. Ability to act as gatekeeper and escalate relevant information to project managers as needed.
8. Excellent verbal and written communication skills.
