Project Specialist
Duration: 3+ Months contract with possibility of extension or FTE

Job Description:
Must haves:
- A minimum of 2 years of proven experience as a Project Coordinator.
- Demonstrated proficiency in providing administrative support.
- Prior experience as a Project Coordinator within a healthcare organization is preferred.
- Presentable appearance with a clean-cut demeanour.
- Exceptional note-taking abilities.
- Proficiency in both written and oral communication.
- Advanced skills in utilizing personal computer software programs such as MS Word, PowerPoint, and Excel.
- Strong attention to detail.
- Highly organized with the ability to work autonomously with minimal supervision.
- Possession of a high school diploma; a Bachelor's degree is Preferred.
- Efficiently manage schedules and calendars for the team, ensuring accuracy and timeliness.
- The Project Coordinator will be responsible for overseeing the daily administrative management of negotiation meetings, including drafting notes, minutes, correspondence, and necessary follow-up.
- Reporting to the Employee and Labor Relations Manager, this role will also play an integral part in implementing and tracking specific short-term/long-term projects, providing administrative support to the department.
- Operating within the department framework, the Project Coordinator will assist the team in various office tasks, assuming responsibility and working independently.
- Utilizing strong verbal and written communication skills, this position will efficiently handle multiple tasks and conflicting priorities in a timely manner, while also coordinating special project activities as assigned.
Key Responsibilities:
Daily Administrative Tasks:
- Undertake general administrative and clerical duties.
- Coordinate and schedule meetings, activities, and programs.
- Maintain calendars and schedules.
- Take comprehensive meeting minutes as required.
Visitor and Inquiry Handling:
- Greet and welcome all visitors in a friendly manner.
- Provide necessary escorts for individuals as required.
- Address inquiries, both by phone and in person, including complex questions necessitating follow-up.
- Exercise discretion in information disclosure.
- Relay messages to appropriate individuals in case of employee absence or unavailability.
Document and Project Management:
- Assist in document management and meeting setup for the team.
- Ensure directories, references, and records are kept up to date.
- Collect and track project documentation as needed.
- Aid in the production of letters, memos, and correspondence for agreements, forms, purchase requisitions, project documents, and other business typing.
