Job Title: Proofreader-Administrative Assistant
Department: Account Management
Reports To: Project Coordinator & Administrative Manager
Summary
This dual position will provide essential proofreading and administrative tasks for our Account Management Department. This person will be detail-oriented, reliable, proactive and able to manage multiple responsibilities and will thrive in a fast-paced, ever-changing environment while ensuring timely and accurate completion of tasks.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Compare all text in the final piece to the customer-provided copy document
- Confirm proper use and placement of variable data (e.g., names, addresses, offers, personalization fields) as outlined in customer data files.
- Confirm fonts, formatting, spacing, and other style elements follow brand and campaign guidelines.
- Ensure no typos, omissions, or substitutions have been introduced during production.
- Meet deadlines while maintaining high-quality standards.
- Maintain confidentiality of sensitive content.
- Support Account Managers with day-to-day project coordination and job tracking
- Assist with reviewing client instructions and confirming job specs with internal teams
- Enter and update job information in internal systems
- Communicate with clients as needed to clarify job details or confirm approvals

- Proven experience as a proofreader, editor, or in a similar role.
- Strong attention to detail and ability to spot errors quickly and efficiently.
- Ability to manage multiple projects and meet tight deadlines.
- Clear and professional written and verbal communication.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Well-organized and capable of managing multiple tasks and deadlines.
- Previous experience in an administrative role preferred.
- Familiarity with direct mail, printing, or marketing environments is a plus.
Supervisory Responsibilities
- This job has no supervisory responsibilities.
Education and/or Experience
- Associate or bachelor’s degree (A. A.) with a Business Administration, English, Communications, or Journalism focus preferred. Will also consider individuals nearing completion of this degree or will consider relevant experience in absence of a degree. Most importantly, if you have a great attitude and energy, we are willing to train the skills needed for the job.

Work Environment
- This job operates in a professional office environment with a collaborative team setting. This role routinely involves standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Position Type/Expected Hours of Work
- This is a full-time office position. This position is in office only. Some flexibility in hours is allowed, but the employee must be available during the “core” work hours of 8:00 a.m. to 5:00 p.m.
