Job Description - Property Administrator

Description

The Lodging Department at Rumbling Bald on Lake Lure is seeking a Property Administrator to support Lodging and Property Management operations by ensuring smooth communication and coordination between guests and Associates. This role is responsible for managing property records, assisting with administrative tasks related to the rental program, and serving as a key point of contact for guests who need assistance during their stay. 

The ideal candidate is detail-oriented, highly organized, and capable of delivering exceptional customer service to both guests and Associates. This position requires strong communication skills and the ability to handle multiple tasks efficiently in a fast-paced environment. 

This full-time position is scheduled Thursday through Monday from 8:30 AM to 5:00 PM. Benefits include health, dental, vision, life and disability insurance and access to property amenities.

Requirements

Administrative & Operational Support:
  • Maintain and organize rental program agreements, property files, and financial records.
  • Process property-related transactions, such as rental program fees, tax reporting, and revenue disbursements.
  • Coordinate with the Landscaping, Housekeeping, and Maintenance teams to ensure Member properties are properly billed
  • Generate reports related to rental performance, occupancy, and property conditions for management.
  • Assist in onboarding new properties into the rental program, including documentation and compliance requirements. 
  • Update website and property details to ensure proper advertising of rental properties.

Guest & Associate Coordination:

  • Work closely with the Housekeeping and Maintenance teams to ensure a seamless guest experience and maintain properties in top condition.
  • Address and track guest concerns related to property conditions and facilitate resolutions with the appropriate departments.
  • Support Associates by providing property-related details and ensuring smooth day-to-day operations.
  • Perform tasks associated with room reservations.
  • Make changes or cancellations to reservations according to company policy.

Education & Experience

  • Previous experience in property management, hospitality, real estate, or administrative support preferred.
  • Strong organizational and problem-solving skills with excellent attention to detail.
  • Professional and effective communication skills with Members, Associates, and Guests.
  • Proficiency in Microsoft Office Suite and property management software (preferred).
  • Ability to multitask and prioritize in a fast-paced environment.
  • Knowledge of rental property operations, homeowner relations, and financial processing is a plus.
  • High school diploma or GED required. Associates degree in related field preferred. 

Physical Requirements:

  • Ability to sit, stand, and move between office and property locations as needed.
  • Occasional lifting of up to 25 lbs. for administrative and property-related tasks.
  • Ability to work indoors and occasionally visit properties in varying weather conditions.
  • Operate a vehicle for job-related duties.
