The Property Administrator supports the Property Management team by handling office operations, tenant relations, and basic accounting tasks. This role plays a key part in maintaining smooth day-to-day operations and delivering excellent service to tenants.


Key Responsibilities:



  • Welcome visitors to the management office and address their needs politely and efficiently.

  • Answer and direct phone calls in a professional manner.

  • Process invoices using Nexus, ensuring correct budget coding and timely payment.

  • Track and correct work orders to bill tenants accurately.

  • Prepare statements for miscellaneous charges and follow up with tenants on unpaid rent.

  • Maintain files including tenant certificates of insurance and tenant contact info.

  • Help resolve tenant service requests quickly and coordinate team responses.

  • Report and document incidents that could lead to property or equipment damage.

  • Coordinate maintenance services and manage vendor contracts.

  • Handle incoming/outgoing mail and packages.

  • Monitor and order office supplies and coordinate repairs of office equipment.

  • Assist Property Manager, General Manager, and Chief Engineer with additional support tasks as needed.


Qualifications:



  • High School Diploma required; bachelor's degree is preferred.

  • Experience supporting a Commercial Property Management Team

  • Experience in Microsoft Office, Excel, reception, work orders, certificates of insurance, tenant interaction, construction management, Angus, and AP/AR.

  • Resourceful at identifying and working around obstacles and finding solutions

  • Demonstrated commitment to customer service

  • Excellent time management and organizational skills with a proven ability to meet deadlines.
