Position Overview

We’re looking for a driven, solution-oriented professional to join our expanding Transitions Department. As a Transitions Specialist, you will play a vital role in the successful onboarding and offboarding of multifamily properties. This dynamic, cross-functional role involves coordinating due diligence efforts, utility and telecom setup, service contract administration, and licensing and permitting compliance. You’ll work closely with internal teams, external vendors, and ownership groups to ensure each transition is executed accurately, efficiently, and on schedule.

This is a hands-on role is ideal for someone who thrives in a fast-paced, detail-oriented environment and excels at managing multiple projects simultaneously.

What You’ll Be Doing

  • Assist with all phases of due diligence, including lease file audits, unit inspections, coordinating with onsite teams, and preparing detailed reports
  • Review service contracts and provide summary reports to support internal decision-making and evaluate opportunities for cost savings.
  • Coordinate with preferred vendors to collect bids, required documentation, and manage the setup, transfer, or termination of utilities and service agreements during property transitions.
  • Coordinate the setup and transfer of utilities and telecom services (electric, gas, water, internet, phone)
  • Ensure vendor compliance by following up on COIs, W-9s, and Vendor Shield enrollment
  • Research, track, and manage licensing and permit requirements (e.g., business licenses, alarm/fire permits), including preparing and submitting applications to ensure compliance during property transitions.
  • Assist in preparing and organizing documentation for internal handoff
  • Coordinate with internal teams to confirm transition readiness and ensure alignment across departments.
  • Participate in onsite takeover or offboarding support, including walk-throughs and document collection
  • Develop and manage project plans for property transitions, ensuring timelines, deliverables, and key milestones are met in coordination with the Project Manager.
  • Maintain organized communication and documentation systems, including shared folders, Teams channels, the Transitions inbox, and calendar, while supporting general transition-related tasks as needed.
  • Other duties as assigned.

Requirements

  

  • 2+ years of experience in multifamily property management, real estate, project coordination, or related field
  • Bachelor’s degree in real estate or applicable field preferred

Knowledge, Skills & Abilities

  • Exceptional organizational skills with strong attention to detail
  • Demonstrated ability to manage multiple priorities and meet tight deadlines
  • Superior written and verbal communication skills
  • Proficient in Microsoft 365 tools, including Teams, SharePoint, Outlook, and Planner; quick to adopt new technologies
