DESCRIPTION
We are seeking a highly skilled and organized Proposal Specialist to join our team. The ideal candidate will be responsible for managing, writing, coordinating, and preparing proposals from start to finish. This includes responding to requests for proposals (RFPs), requests for information (RFIs), and requests for quotes (RFQs) from clients and prospects primarily within the commercial sector across diverse industries.

Additionally, the Proposal Specialist helps to create compelling content for select marketing and thought leadership initiatives as well as reviewing and refining final client deliverables. This position will work within the Communications and Customer Experience Team, report to the Vice President of Communications and Customer Experience, and work closely with executive management and operational staff in defining and creating winning proposals.

The Proposal Specialist must be proficient in creating proposal outlines and compliance matrices, establishing proposal completion schedules, writing the proposal, leading review meetings, and collaborating with other staff to ensure timely delivery of the finished product.

RESPONSIBILITIES
Manage the entire proposal process, from initial request to final submission, ensuring all deadlines are met, and deliverables are of high quality.
Collaborate with cross-functional teams to gather information, develop proposal content, and tailor responses to meet the needs of potential clients.
Utilize Salesforce to facilitate the proposal process, track progress, and manage proposal-related activities.
Research and analyze RFP/RFI/RFQ requirements to ensure compliance and develop winning strategies for proposal submissions.
Write and edit proposal content, ensuring clarity, consistency, and alignment with company messaging and branding guidelines.
Develop and maintain a library of proposal templates, boilerplate content, and case studies for future use.
Create compliance matrices; develop detailed proposal plans, schedules, and outlines/templates to control proposal development.
Coordinate with subject matter experts to gather technical information and incorporate it into proposals.
Tracks and reports the status of all proposal elements to the Vice President of Communications and Customer Experience.
Help ensure the vital flow of communication and task management between executive management, operations, and other parties involved in the proposal process.
Perform substantive reviews of both text and graphics, ensure the assigned proposal writing sections comply with RFP/RFI/RFQ requirements, and comply with standard format and style criteria.
Serve as the primary point of contact for proposal-related inquiries and liaise with clients as needed.
Create engaging content for select marketing materials, including website copy, blog posts, whitepapers, presentations, and social media posts.
Develop thought leadership content, such as articles, presentations, and industry insights, to showcase the company’s expertise.
Review and refine final client deliverables to ensure accuracy, clarity, and alignment with client expectations.
Stay current on industry trends, market developments, and competitor activities to inform content strategy and proposal positioning.

QUALIFICATIONS
Bachelor's degree in English, Communications, Marketing, Business, or a related field.
Three to five years of experience.
Proven experience in proposal writing, RFP/RFI/RFQ response management, and content creation.
Training in the Shipley proposal method is desirable.
Exceptional writing, editing, and proofreading skills, with a keen eye for detail.
Ideally, candidates should possess experience in the security industry.
Strong project management skills and the ability to prioritize tasks in a fast-paced environment.
Excellent communication and interpersonal skills, with the ability to collaborate effectively across teams.
Familiarity with proposal management software (Salesforce) is a plus.
Knowledge of industry best practices for proposal development and content marketing.
Ability to work independently with minimal supervision and meet tight deadlines.
A high level of drive, discipline, creativity, and motivation.
Creative thinking and the ability to generate innovative ideas for content development.
Excellent computer skills in MS Word, Excel, PowerPoint, and Outlook.
