Healthy Minds is on a mission to raise Nevada’s mental health ranking from 51st to 1st—and we need organized, compassionate professionals to help us get there. As a Psychiatric Support Specialist, you’ll be the key point of contact for approximately 150 clients, helping them access psychiatric care by managing communication, scheduling, medications, and coordination with treatment teams.

Key Responsibilities

· Client Communication: Answer and return phone calls, voicemails, and emails within 24 hours. Provide timely, compassionate support to clients and their families.

· Appointment Scheduling: Manage psychiatrist schedules, coordinate follow-ups, send Zoom links, confirm attendance, and ensure no client falls through the cracks.

· Medication Management: Submit and track prior authorizations, process refill requests, and maintain accurate medication and pharmacy information.

· Administrative Coordination: Maintain documentation in the EMR, manage shared email inboxes, distribute electronic faxes, and support supply orders.

· Triage Support: Collect client vitals (weight, blood pressure, height), update allergy/medication lists, and prepare clients for appointments.

· Treatment Team Collaboration: Coordinate with case managers, psychiatrists, therapists, families, and external agencies to support ongoing care.

· Incident Response: Complete incident reports and respond to panic alerts according to agency protocols.

· Cross-Coverage: Provide coverage for other administrative roles as needed in outpatient and higher levels of care (PHP/IOP).

Qualifications

· High school diploma or GED required

· Associate or Bachelor’s degree in healthcare, psychology, or related field preferred

· Medical Assistant Certification preferred

· Experience in a behavioral health or medical office setting strongly preferred

· Proficiency in EMR systems, Microsoft Office, and Zoom

· Strong attention to detail, time management, and problem-solving skills

· Understanding of HIPAA and confidentiality standards

· Ability to multitask in a fast-paced environment
