Job Description - Purchasing Specialist

Overview

We’re looking for a detail-oriented Purchasing Agent to join a growing industrial fabrication and contracting organization that supports manufacturing facilities across a variety of industries. In this role, you will manage purchase orders, source materials, coordinate with vendors, and ensure project teams have the equipment and supplies needed to support fabrication and field installation work. You’ll work closely with project managers, shop personnel, and operations leadership to track material requests, manage vendor communication, and maintain accurate purchasing records.

This is a highly visible role within the organization. The Purchasing Agent serves as a key coordination point between project teams, internal operations, and suppliers to ensure materials are ordered accurately and delivered on time. The ideal candidate is someone who values stability, is highly organized, and is ready to take extreme ownership of vendor relationships while maintaining strong communication across our entire team.

Compensation

  • $70,000 - $85,000

Responsibilities

  • Full-Cycle Purchase Order Management: Create, issue, and track 30+ open purchase orders simultaneously for materials, equipment, and project supplies. Manage the process from initial requisition through to final delivery and documentation.
  • Material Request & Allocation: Review daily material slips and requests from shop personnel and field teams. Ensure all items are accurately charged and assigned to the correct project codes for precise cost tracking.
  • Strategic Sourcing & Vendor Relations: Contact vendors to obtain quotes, negotiate pricing, and compare availability. Maintain professional relationships with a wide variety of suppliers to ensure reliable delivery of high-tolerance industrial materials.
  • Equipment Rental Coordination: Manage the sourcing and scheduling of specialized equipment rentals—such as forklifts, lifts, and safety gear—for field crews operating across multiple states.
  • Inventory Control & Monitoring: Monitor stock levels for commonly used shop materials. Proactively reorder items to maintain designated minimum inventory levels and prevent project delays.
  • High-Touch Project Coordination: Act as the central point of contact between Project Managers, internal shop teams, and vendors. Provide proactive, urgent updates on order status and delivery timelines with professional confidence.
  • Data Integrity & System Management: Maintain organized, systematic records for all purchasing activities. Ensure "flow-down" documentation (specifications, quality standards) is accurately communicated to suppliers on every PO.
  • System Ownership (Sage & Excel): Enter and update purchasing and inventory data within company systems (Sage and Excel). Ensure formulas are maintained and records are up-to-date for real-time operational visibility.
  • Annual Inventory & Audits: Take a lead role in the year-end inventory process, performing audits and reconciliation to ensure physical stock aligns with system records.
  • Process Evolution: Assist leadership in modernizing digital workflows, including the potential future implementation of Sage inventory modules and advanced Excel tracking tools.

Experience & Technical Skills

  • Industrial Background: 3–10+ years of experience in purchasing,
  • Industrial Procurement (Preferred): Procurement, or buying within the trades (mechanical contracting, metal fabrication, or industrial construction).
  • Software Competency: Proficiency in Microsoft Office (specifically Excel) is required. Experience with Sage or similar ERP/Accounting software is highly preferred.
  • Tech-Forward: A willingness to learn and implement new technology to move away from manual/paper processes.
  • No Engineering Degree Required: While we value experience, you do not need to read blueprints or use CAD software for this role. We value your procurement expertise and organizational grit above all else.
