POSITION SUMMARY

The Quality Assurance Specialist is responsible for supporting, maintaining, and improving the company’s Quality Management System (QMS) to ensure compliance with company standards, customer requirements, and applicable regulatory standards, including ISO 9001:2015.

This role collaborates cross-functionally with operations, leadership, and customers to oversee inventory and operational quality, support audits, resolve nonconformances, and drive continuous improvement initiatives across warehouse and logistics operations.

ESSENTIAL JOB FUNCTIONS FOR THIS POSITION

  • Maintain and support the Quality Management System (QMS), including documentation, procedures, and records. 
  • Ensure compliance with internal processes, customer requirements, and regulatory standards. 
  • Assist with and conduct internal and external audits (ISO, customer, and operational audits). 
  • Document audit findings, generate reports, and ensure corrective actions are implemented and completed. 
  • Track and manage corrective and preventive actions (CAPA) through resolution. 
  • Perform root cause analysis on quality issues, inventory discrepancies, and customer complaints. 
  • Investigate nonconformances and partner with teams to resolve and prevent recurrence. 
  • Develop, implement, and monitor quality control processes for warehouse operations and inventory. 
  • Inspect materials, storage processes, and finished goods to ensure quality standards are met. 
  • Monitor inventory accuracy and support cycle count and reconciliation processes. 
  • Analyze quality data, identify trends, and provide insights and recommendations to leadership. 
  • Prepare quality metrics and KPI reports for management review. 
  • Maintain document control and ensure all records are accurate and up to date. 
  • Support training initiatives related to quality procedures and compliance requirements. 
  • Collaborate with operations and suppliers to improve quality performance and processes. 
  • Promote a culture of quality, continuous improvement, and operational excellence. 
  • Maintain audit readiness across all departments and facilities. 
  • Support implementation of new customer requirements, processes, and quality standards. 
  • Travel as needed to support other facilities, audits, or quality initiatives.

OTHER SIGNIFICANT JOB FUNCTIONS INCLUDE

  • Maintaining regular and reliable attendance, along with being available in an on-call status
  • Perform additional duties as assigned 
  • Comply with company policies and procedures and all applicable laws and regulations 

Requirements

REQUIRED and/or PREFERRED EDUCATION / EXPERIENCE

  • Associate’s or Bachelor’s degree in Quality, Business, Supply Chain, Operations, or related field preferred. 
  • Minimum of 2+ years of experience in quality assurance, quality systems, manufacturing, logistics, or warehouse operations preferred. 
  • Working knowledge of ISO 9001:2015 standards and auditing processes preferred. 
  • Experience with CAPA, root cause analysis, and document control systems required. 
  • Experience in logistics, warehousing, or 3PL operations is strongly preferred. 
  • Relevant certifications (e.g., Internal Auditor, Six Sigma) preferred. 
  • Willingness to travel locally within the Indianapolis region and occasionally to other U.S. locations.

REQUIRED SKILLS (TECHNICAL, CLERICAL, LANGUAGE, ETC.)

  • Strong understanding of quality assurance methodologies, tools, and best practices. 
  • Excellent data analysis and problem-solving skills. 
  • Strong attention to detail with ability to identify discrepancies across large data sets. 
  • Ability to manage multiple priorities and work independently in a fast-paced environment. 
  • Strong organizational and communication skills. 
  • Proficiency in Microsoft Office (Excel, Word) and quality or database systems. 
  • Experience with KPI tracking, reporting, and dashboard development preferred. 
  • Knowledge of continuous improvement methodologies such as Lean, PDCA, or Six Sigma preferred. 
  • Ability to train and influence cross-functional teams on quality standards and expectations. 
  • High level of professionalism, reliability, and accountability, including strong attendance practices.
  • Ability to work and communicate effectively with others, promoting a team environment
  • Accepts constructive criticism with professionalism and uses it as a tool for continuous learning and skill enhancement
  • Effectively communicates with personnel at all organizational levels, both internal and external, to foster collaboration and drive process improvements

PHYSICAL DEMANDS

  • Ability to work in a warehouse environment with varying temperatures and noise levels 
  • Ability to stand and walk for extended periods throughout the workday 
  • Frequent movement within the warehouse to inspect inventory, processes, and work areas 
  • Ability to bend, stoop, kneel, reach, and climb as needed to perform inspections 
  • Ability to lift up to 25 pounds occasionally 
  • Repetitive use of hands, wrists, and fingers for computer and documentation tasks 
  • Periodic computer and telephone usage for reporting, communication, and data analysis 

WORK ENVIRONMENT

  • Fast-paced, high volume work environment
  • Ability and willingness to travel within the Indianapolis region (North, West, and South locations) as needed 
  • Occasional travel to other company facilities within the United States 
  • Travel may be required for audits, training, process implementation, and quality support initiatives
