Job Description - Real Estate Front Desk Receptionist

Job Title: Front Desk Receptionist


Job Summary:


Inch & Co Real Estate is seeking a friendly, organized, and professional Front Desk Receptionist to join our team. As the first point of contact for clients, agents, and visitors, you will play a critical role in creating a welcoming atmosphere and ensuring smooth daily operations in our office. The ideal candidate is a strong communicator with excellent customer service skills and a passion for real estate.


Responsibilities:





    • Greet and welcome visitors: Be the face of the company, ensuring all guests feel welcome and are directed to the appropriate party.

    • Answer and direct phone calls: Manage a multi-line phone system, screen and transfer calls to the appropriate departments or agents.

    • Schedule appointments: Coordinate meetings between clients, agents, and other stakeholders, and manage the office calendar.

    • Manage mail and deliveries: Receive, sort, and distribute incoming mail and packages; prepare outgoing mail as needed.

    • Assist with administrative tasks: Provide support with data entry, filing, scanning documents, and maintaining office supplies.

    • Maintain a clean and organized reception area: Ensure that the front desk and waiting areas are tidy, well-stocked, and presentable.

    • Client support: Respond to client inquiries, provide property information, and assist agents with administrative tasks related to listings and transactions.

    • Data management: Update client records, property listings, and office databases as needed.

    • Collaborate with team members: Work closely with real estate agents, brokers, and other staff to ensure seamless office operations.




Qualifications:





    • High school diploma or equivalent required; post secondary training preferred.

    • Previous experience in a receptionist, front desk, or administrative role, preferably in real estate or a related field.

    • Excellent communication and interpersonal skills.

    • Strong organizational abilities and attention to detail.

    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with customer management systems.

    • Ability to multi-task, prioritize tasks, and work independently in a fast-paced environment.

    • Ability to maintain a high level of confidentiality.

    • Customer service orientation and problem-solving skills.

    • Professional appearance and demeanor.
