Real Estate Listing Coordinator



Location: Williamsburg, VA
Overview:


Coldwell Banker Premier is seeking a proactive, detail-oriented Listing Coordinator to manage the full lifecycle of residential listings across our 7-state, 10-MLS footprint. This role plays a critical part in supporting our agents by ensuring listings are processed efficiently, marketed effectively, and maintained accurately throughout their life on the market. You’ll be working with our back-office system, multiple MLS platforms, CB Dash syndication tools, and a range of internal and external marketing assets.



Key Responsibilities:



📍 Listing Setup & Management



  • Input and manage listing data across multiple MLS systems and other various listing platforms with attention to accuracy and compliance.



  • Coordinate collection of listing documentation, disclosures, and required signatures, uploading all files into the company’s back-office system.



  • Update property status (e.g., Active, Under Contract, Withdrawn, Sold) in all systems promptly upon notification.




💻 System Oversight & Syndication



  • Oversee listing syndication via CB Dash, ensuring all property data and media are properly displayed on company, franchise, exclusive look and public websites.



  • Troubleshoot and resolve any inconsistencies in property visibility, photos, or descriptions.




🧠 Marketing Coordination



  • Generate and distribute listing marketing packages using Coldwell Banker marketing tools (e.g., Listing Concierge, Design Concierge).



  • Prepare flyers, postcards, social media content, and digital ads based on property features and agent requests.



  • Ensure photos, floor plans, and video content are properly uploaded to MLS and other marketing platforms.




📞 Pre-Market Circle Prospecting Support



  • Collaborate with the marketing and sales teams to initiate pre-market circle prospecting campaigns, helping to generate interest and potential leads before listings go live.



  • Coordinate postcard drops, email templates, and outbound call lists based on target radius around upcoming listings.




🔄 Ongoing Listing Maintenance



  • Make timely changes to price, descriptions, and photos per agent or management direction.



  • Review active listings regularly to ensure compliance with franchise branding and presentation standards.



  • Provide agents with confirmations, live links, and updated copies of all listing materials.




📊 Reporting & Efficiency



  • Track all listing activity using internal dashboards or spreadsheets.



  • Report recurring issues, gaps, or inefficiencies to operations leadership.



  • Help train agents on listing protocols and Coldwell Banker tools as needed.




Qualifications:



  • 2+ years of experience in a real estate office, preferably in a listing coordinator or marketing support role.



  • Strong familiarity with MLS platforms (knowledge of multi-MLS operations a plus).



  • Experience with Coldwell Banker tools, including CB Dash, Listing Concierge, and Design Concierge.



  • High attention to detail, excellent written communication, and time management skills.



  • Proficient in Google Workspace, Canva, and CRM/transaction management systems (e.g., Dotloop, ZipForms, and TransactionDesk).



  • Ability to handle multiple deadlines, work independently, and communicate professionally with agents and staff.




Preferred Skills:



  • Working knowledge of real estate compliance rules and regulations across multiple jurisdictions.



  • Understanding of residential marketing best practices and lead generation strategies.



  • Familiarity with circle prospecting and pre-listing outreach methods.



  • Comfortable working in a high-volume, fast-paced brokerage environment.
