Job Description - Receiving Coordinator


Summary:

The Receiving Coordinator is responsible for accurately receiving items into the purchasing system and ensuring all received goods match purchase order requirements. This role works closely with buyers and receiving staff to maintain accurate inventory records and resolve discrepancies efficiently. 

Essential Duties and Responsibilities:

  • Verify item descriptions, quantities, and units of measure against purchase orders and packing slips.
  • Ensure all received items are properly documented and recorded according to company procedures.
  • Receive items into the purchasing system in a timely and accurate manner.
  • Work closely with buyers, receivers and inventory control to resolve discrepancies related to pricing, quantities, item descriptions, or units of measure.
  • Maintain complete, accurate, and well-organized receiving files, including purchase orders, packing slips, receiving reports, and related documentation, in accordance with company record-retention policies.
  • Maintain accurate records and support audits or inventory reviews as needed.
  • Cross-trained to support Receiver responsibilities and assist with receiving operations as required.
  • Assist with managing document storage boxes at the off-site warehouse, including organizing, labeling, tracking, and receiving records as needed in accordance with company-retention policies.
  • Coordinated and shipped outgoing items through FedEx, UPS, and additional carriers while maintaining precise records and consistent communication.
  • Follow company policies, safety standards, and purchasing procedures.

This position is not limited to those duties listed in the job description. Duties and responsibilites can be changed, expanded, reduced, or deleted to meet business needs. 

Supervisory Responsibilities:

This position does not have supervisory responsibilities.


Requirements

  • Must be at least 21 years of age and have a High School Diploma or GED
  • One to three years of related experience and/or training, or equivalent combination of education and experience.
  • Must possess a valid CA Driver's License.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Previous experience in receiving, purchasing, inventory control, or a related role preferred.
  • Strong attention to detail and accuracy.
  • Ability to work collaboratively with buyers, receivers, and other departments.
  • Basic computer skills and experience using purchasing or inventory systems preferred.
  • Strong organizational and communication skills.

Work environment:

  • Combination of office and warehouse/receiving area work.
  • May require standing, walking, handling paperwork, and lifting items weighing up to, but not limited to, 50 lbs.
  • Employees working the Casino or Bowling Center may be exposed to second-hand smoke and moderate levels of noise.
