The Receptionist will serve as the first point of contact for students, parents, and visitors to the school. The primary responsibility of this individual is to ensure the smooth and efficient operation of the school office while providing excellent customer service. The Receptionist will work closely with school staff, parents, and students to facilitate communication, maintain records, and assist with various administrative tasks. Fluency in both Spanish and English is required.
Key Responsibilities:
Greet and assist parents, students, and visitors in a professional and friendly manner.
Answer phone calls, address inquiries, and redirect calls to the appropriate personnel.
Manage incoming and outgoing mail and packages.
Maintain and update student records, including attendance, enrollment, and contact information.
Assist in the registration and withdrawal process for students.
Prepare and distribute report cards, transcripts, and other academic documents.
Provide administrative support to school staff, including teachers, administrators, and counselors.
Assist in the organization of school events, meetings, and conferences.
Manage office supplies and place orders as needed.
Enter data accurately into the school's computer systems, including attendance and disciplinary records.
Generate and maintain various reports as required by the school administration.
Foster positive relationships with parents and the local community.
Address inquiries, concerns, and requests from parents in a helpful and professional manner.
Assist in disseminating important school information to parents.
Ensure the security of the school premises by monitoring access and visitor sign-in procedures.
Follow safety protocols and assist with emergency procedures when necessary.
Perform other job duties as assigned by leadership.
Required Skills & Abilities:
Must be bilingual - fluency in both Spanish and English is required.
Strong verbal and written communication skills.
Excellent organizational and time management skills.
Discretion and the ability to handle confidential information.
Proficiency in computer applications such as Google Suite and Microsoft Office and the ability to learn school-specific software.
Committed to creating a welcoming and supportive environment for under-served students.
Education and Experience:
High school diploma or equivalent; some college coursework or administrative training is preferred.
Previous experience in a similar administrative or secretarial role is a plus.
