Job Description - Receptionist


Job Title: Portage School of Leaders Receptionist

Job Classification: Classified/Non-Instructional

Reports to: Head of School

Work Schedule: Academic Calendar 

 

General Description: 

At the Portage School of Leaders, our school receptionist leads our community in hospitality and contributes to effective communication and logistics. The receptionist greets visitors, students, and parents and answers phones, schedules meetings, and supports the staff and students through organizing and executing a variety of tasks. This role blends customer service, clerical organization, and secretarial support and contributes to the daily functioning of the school and to the fostering of an environment of welcome, clarity, and connection.

Qualifications: 

  • High school diploma or equivalent required
  • Previous experience in customer service, office work, or a school setting preferred
  • Proficiency with phone systems, email, and basic computer programs (Microsoft Office, Google Suite)
  • Strong verbal and written communication skills
  • Friendly, professional demeanor and the ability to multitask

Primary Responsibilities: 

  • Greet and assist visitors, students, and parents, ensuring a welcoming and professional front office environment.
    • Maintain detailed sign-in logs to track all visitors entering and leaving the premises.
  • Manage background checks for all volunteers and agencies.
  • Answer phone calls, direct inquiries, and manage email communications.
  • Maintain student records, including enrollment, and attendance records.
  • Coordinate the reception of health information and records with the school nurse.
  • Assist with student registration, withdrawals, and transfers.
  • Prepare and distribute school correspondence, newsletters, and announcements.
  • Schedule and coordinate meetings, appointments, and events for the Head of School and administrative staff.
  • Manage office supplies and ensure the office is well-organized and stocked.
  • Handle confidential information with discretion.
  • Support the principal and staff with various clerical tasks, including filing, data entry, and document preparation.
  • Manage substitute teacher support.
  • Assist with students who come in late to school/leave early from school to ensure they have signed in/out and have a pass to class.
  • Share information broadly with administrators, teacher, and students' families through email, phone calls, or alternative form of communication.
  • Receive, sort, and systematize the mail and packages
  • Other duties as assigned by building and district administration.

School Activities: 

  • Support front office operations during school events or conferences when scheduled
  • Collaborate with other administrative staff to ensure smooth daily operations
  • Attend staff training or meetings as required
  • Assist in distributing materials or announcements to students and families

  • Must demonstrate foundational professionalism, including consistent attendance, punctuality, adherence to school policies and procedures, and strong employability skills. These are considered essential, non-negotiable expectations of the role.
