Receive and screen callers and visitors, directing them to appropriate parties within the organization when appropriate. Provides general administrative and clerical support as needed such as office organization, assisting other departments with clerical duties including ordering/tracking and stocking restroom and kitchen supplies, and random work that falls through the cracks.
Responsibilities and Duties:
Answer phones, take detailed messages when necessary and/or transfer calls to the appropriate team member
Represent company and its employees in a positive manner at all time
Follows company policies, practices, and standards, and supports company goal
Provides insight, feedback, and ideas to support company growth and success
Providing excellent customer service to internal and external customers.
Greeting customers/sales associates, directing them appropriately
Receive, and distribute packages
Answer visitors’ questions, calls, and emails, and provide them with the relevant information.
Update E-road and equipment records with work tickets and invoices
Monthly Fuel tracking spreadsheet
Ensure reception and kitchen areas are tidy and presentable, with all necessary stationery and material (e.g. daily light cleaning and disinfecting)
Assist with administrative tasks, including filing, data entry and document preparation
Ensure front conference room is kept organized, clean, and ready for guests and meetings.
Maintains general office supply inventory and place orders as needed
Order restroom, kitchen and printer supplies and keep inventory in stock
Lock up doors at the end of business day and ensure phones are transferred
Qualifications:
18 years or older
High school diploma or equivalent preferred
Ability to learn and utilize Outlook and MS Teams. Basic level of proficiency with Word and Excel
Ability to communicate effectively, both verbally and in writing
This position is not typically considered safety-sensitive in nature. Ability to abide by all company policies including our drug-free workplace policy
Ability to lift up to 20 pounds, sit for extended periods daily, type and view screens for extended periods daily, etc.
Must be dependable and reliable
Excellent communication skills;
Demonstrates excellent customer service
Ability to pass background check and pre-employment drug screen
Problem-solving skills
Proficiency with Microsoft Office applications (Excel, Word and PowerPoint) required
Familiarity with QuickBooks
Familiarity with Canva desired
Ability to prioritize and multi-task in a fast-paced environment
Communication skills
Typical Work Conditions:
40 hour per week
Monday through Friday 8am to 5pm
Overtime may be requested and extended work hours in cases of emergencies.
