The Receptionist serves as the first point of contact for residents, families, visitors, and business partners by providing exceptional customer service and administrative support. This position is responsible for maintaining a welcoming environment, directing communications, assisting visitors, and supporting daily office operations while ensuring confidentiality and professionalism.

Essential Responsibilities

· Greet residents, families, visitors, vendors, and staff in a courteous, friendly, and professional manner. 

· Answer, screen, and direct incoming telephone calls, taking messages and routing calls to the appropriate department or staff member. 

· Provide accurate information to residents, families, visitors, and outside agencies while maintaining a positive customer service experience. 

· Maintain confidentiality of resident, employee, and organizational information in accordance with HIPAA and facility policies. 

· Receive, sort, and distribute incoming mail, deliveries, and other communications to the appropriate departments. 

· Conduct tours for prospective residents and families as assigned. 

· Assist residents and family members by providing requested information or directing them to the appropriate staff member. 

· Provide administrative support including filing, copying, scanning, data entry, preparing correspondence, answering emails, and other clerical duties. 

· Maintain an organized, clean, and professional reception area. 

· Assist with special projects and departmental support as assigned. 

· Participate in required meetings, in-services, and annual training. 

· Perform other duties as assigned in support of facility operations. 

Qualifications

· High school diploma or equivalent required. 

· Previous receptionist, administrative assistant, or customer service experience preferred. 

· Experience in healthcare, long-term care, or senior living is preferred. 

· Proficiency with Microsoft Office applications, email, and general office equipment. 

· Strong verbal and written communication skills. 

· Excellent organizational, multitasking, and customer service skills. 

· Ability to maintain confidentiality and exercise discretion with sensitive information. 

· Ability to interact professionally and compassionately with residents, families, visitors, and employees. 

· Successful completion of annual state-required in-service education and mandatory training. 

· Annual health screenings, including Tuberculosis (TB) testing, as required. 

Physical Requirements

· Ability to sit, stand, walk, bend, reach, and perform repetitive hand movements throughout the workday. 

· Ability to frequently use computers, telephones, printers, copiers, and other office equipment. 

· Ability to occasionally lift and carry up to 25 pounds. 

· Ability to maintain visual acuity for computer work, reading documents, and interacting with visitors. 

· Ability to communicate clearly in person and by telephone while managing multiple priorities in a busy office environment. 

Work Environment

This position is performed primarily in an office and reception setting within a skilled nursing and senior living community. Employees may have occasional exposure to infectious diseases, airborne illnesses, cleaning products, and medical equipment while interacting with residents and staff. Noise levels may vary from quiet office settings to busy reception areas with frequent telephone calls and visitor traffic.
