Brooks Law Group is seeking a professional, customer-focused Receptionist to join our growing Tampa office. This entry- to mid-level position is ideal for someone who is highly organized, enjoys helping people, and takes pride in delivering exceptional customer service.



As the first point of contact for our clients, you will play a critical role in creating a positive and welcoming experience. We're looking for someone who communicates with empathy, works well independently and as part of a team, and is committed to supporting our firm's mission of providing outstanding client service.



What We're Looking For




  • Minimum of 3 years of receptionist or front desk experience

  • Ability to work independently while managing multiple priorities

  • Strong organizational skills and attention to detail

  • Proactive, dependable, and eager to support the team

  • Excellent communication and interpersonal skills

  • A client-first mindset with a commitment to professionalism and service excellence



Qualifications




  • Experience operating a multi-line phone system

  • Professional, courteous, and polished demeanor

  • Ability to make clients feel comfortable sharing sensitive or personal information

  • Excellent verbal and written communication skills

  • Intermediate to advanced computer proficiency

  • Strong working knowledge of Microsoft Word, Outlook, Excel, and PowerPoint

  • Highly organized with the ability to work both independently and collaboratively

  • Exceptional work ethic, punctuality, and attendance



Key Responsibilities




  • Answer and direct incoming calls using a multi-line phone system

  • Greet clients and visitors with professionalism, warmth, and a welcoming attitude

  • Provide exceptional service to every caller and visitor, ensuring each person feels valued and respected

  • Collect and relay information from prospective clients accurately and efficiently

  • Assist with setting up client accounts and maintaining office records

  • Update and maintain the firm's phone extension directory

  • Coordinate out-of-office referrals and document referral information as needed

  • Support firm marketing initiatives, including direct mail campaigns and birthday cards for current and former clients

  • Sort, distribute, and process incoming mail

  • Perform general administrative and office support duties, including typing, filing, and operating office equipment



Schedule


Monday–Friday
8:00 AM – 5:00 PM



Compensation



Compensation is competitive and will be based on experience and qualifications.
