GENERAL POSITION SUMMARY
The Receptionist serves as a professional and welcoming representative of South Metro Fire Rescue and is often the first point of contact for employees, Board of Directors, community members, visitors, vendors, and other stakeholders. This customer-service focused position provides exceptional service while performing a variety of reception, administrative, and organizational support functions that contribute to the District’s goals and objectives.
The Receptionist is expected to consistently demonstrate professionalism, courtesy, discretion, and a commitment to delivering a positive experience that reflects the values and reputation of South Metro Fire Rescue.

Customer Service
Serves as the primary point of contact for internal and external customers; answers and manages phones calls and inquiries; directs calls to appropriate divisions and personnel.
Greets and welcomes visitors in a professional and courteous manner; directs visitors to the appropriate division or person; issues security badges to visitors and contractors.
Responds to inquiries; provides general information regarding SMFR functions and programs.
Administrative Duties
Provides professional front-office, receptionist, and administrative support to all divisions of the District, functioning as a key organizational resource and primary point of contact for employees, visitors, vendors, and the public.
Provides direct administrative support to the Assistant to the Fire Chief, including meeting preparation, scheduling, correspondence, document management, and coordination of District-wide administrative activities.
Distributes mail and deliveries; receives, sorts, and distributes mail, packages, and other deliveries.
Coordinates pool car reservations.
Assists with coordination of various events, secures rooms/locations; prepares invitations or notices for events; provides logistical support for event including meeting materials, presentations, refreshments, set up and take down, etc.
Maintains lobby equipment, the headquarters kitchen, office supplies, and beverage station.
Maintains appropriate supply levels for the Mineral HQ copier stations.
Maintains the phone directory in PowerDMS.
Composes letters, purchase orders, and reports which may also include data entry, printing/scanning projects, and subject-matter research.
Schedules station visits/engine tours, ride-alongs and parades, and other department events as needed.
Assists with fulfilling open records requests.
Orders business cards for employees.
Performs other duties as assigned.
MINIMUM QUALIFICATIONS
EDUCATION, EXPERIENCE, LICENSES & CERTIFICATIONS (An equivalent combination of education, training, and experience that demonstrates the ability to perform the duties of the position is qualifying.)
Minimum of a High school Diploma or equivalent GED.
One (1) year of responsible customer service or receptionist experience with public contact is required.
Must obtain CPR certification within one (1) year of hire.
NECESSARY KNOWLEDGE, SKILLS, AND ABILITIES
Ability to demonstrate strong customer service orientation.
Ability to establish and maintain effective working relationships with other SMFR employees, the public, and community organizations.
Ability to provide clear concise verbal and or written instructions to other employees and supervisors.
Ability to prepare clear, concise, and accurate reports, correspondence, and other written materials.
Ability to work independently and set priorities.
Ability to interact well with a diverse population with outstanding interpersonal and communication skills.
Knowledge of current versions of SMFR's hardware and software applications, including telecommunications, word processing programs, office equipment, copiers, and audio/visual devices.
SUPERVISION RECEIVED
Works under the general supervision of the Assistant to the Fire Chief.
SUPERVISION EXERCISED

EQUIPMENT AND SYSTEMS
Requires frequent use of personal computer, including various software packages, database and spreadsheet programs, telephones, mobile computers, copy machines, cameras, and other general office equipment.
PHYSICAL DEMANDS
While performing the duties of this job, the employee is regularly in a sedentary position. The employee may also be required to perform climbing, balancing, stooping, kneeling, crouching, crawling, reaching, standing, walking, pushing, pulling, lifting, fingering, grasping, feeling, talking, hearing, seeing and repetitive motions. Requires nimbleness of hands for typing and writing. May be required to lift up to 25 pounds.
WORK ENVIRONMENT AND GENERAL INFORMATION
While performing the duties of this job, the employee primarily works in a climate-controlled office environment.
The noise level in the work environment is usually moderate.
