Job Description - Receptionist / Administrative Assistant

Position Summary
The Receptionist serves as the first point of contact for the church and is responsible for providing clerical support across the organization. This position will also serve as a part-time administrative assistant to the Director of Operations by providing administrative support with ministry related activities. 


Receptionist 

  • Greet all visitors entering the church, determine the nature of their visit, and provide direction and/or information as appropriate.

  • Coordinate front-desk activities such as maintaining the lobby/reception area, scheduling appointments, and maintaining calendars.

  • Answer, screen, and route all incoming calls, providing information and taking messages. 

  • Maintain in-depth knowledge of the church, its ministries/programs, and staff whereabouts to answer and direct inquiries properly.

  • Prepare, file, and maintain documents such as memos, spreadsheets, reports, routine correspondence, etc.  

  • Perform other clerical duties such as filing, copying, faxing, typing, and transmitting information or documents using a computer, mail, or facsimile machine.

  • Collect, sort, distribute, or prepare mail, messages, or courier deliveries.Respond to internal and external inquiries or complaints and escalate when appropriate. 

Administrative Support 

  • Assist the Director of Operations in managing the daily activities, including ordering supplies, calendar management, appointment scheduling, event planning, etc.  

  • Assist with ministry-related budgeting activities, including but not limited to processing payments, receipts, invoices, and reconciling records.

  • Utilize Google Suite to create and maintain files in an electronic filing system.

  • Coordinate travel arrangements necessary for the ministry, as needed.

  • Collaborate with other staff members and departments to organize and execute applicable ministry activities. 

  • Stay abreast of software systems and tools to accomplish ministry goals, track progress, and provide accountability, such as the Breeze management system.

  • Maintain the confidentiality of sensitive information.

  • Attend any training and continuing education offered by Lone Star or at Lone Star to grow personally and as a Christian

  • Perform other duties as assigned. 



EDUCATION & EXPERIENCE

  • A high school diploma or equivalent is required

  • Minimum of 2 years of receptionist experience with a solid understanding of administrative and clerical procedures and systems 

  • Proven ability to multi-task and exhibit excellent telephone etiquette skills

  • Strong communication skills, interpersonal skills, and a proven ability to build relationships

  • Experience working with office equipment (fax machines and printers)

  • Excellent attention to detail and strong organizational skills 

  • Proven ability to handle sensitive and confidential issues in a professional manner

  • Ability to maintain a positive attitude in stressful situations

  • Proficient in Google Suite (Sheets, Docs, Slides, Forms, etc.) and other similar software




Hours and work environment
This is a full-time position, scheduled Monday - Friday from 9 .m. to 5 p.m. on site at the church office.  
This position involves extended periods of sitting, talking on the phone, typing, and other repetitive tasks.



Compensation: $1.00 per hour
