Job Description - Receptionist - Far North Dallas (Addison)

  • LOCATION: Addison Area, near Keller Springs Park. Zip Code: 75248.
  • SCHEDULE: Full Time | Monday - Friday 9:00 am to 5 pm.
  • SALARY: $20 per hour

Responsibilities:

  • The Receptionist is responsible for supporting the overall operation of the property with the goal of consistently maintaining high standards for all departments and is instrumental in maintaining a superior customer service culture.
  • Maintain a flexible professional approach and outlook to the ever-changing demands of the position, assist in establishing and maintaining procedures to ensure the Management Office of the Association functions efficiently.
  • Answer phone calls, emails, and respond to homeowner inquiries including but not limited to work orders, pest control requests, mail holds, water shut-offs, chair/table reservations, pet registrations, reserving amenities, and planning event or meeting set-up.
  • Keep daily inventory of candy, water, and other supplies and work in coordination with the Administrative Assistant (AA) for ordering.
  • Primary for providing Residents with fobs, garage clickers, updating BuildingLink profiles, and forwarding BuildingLink log-in information.
  • Collect fees and/or deposits for amenities, application fees, social events, monthly assessments, distributing tickets for social events, etc., providing a receipt upon request and adding all payments to a spreadsheet for tracking. All fees will be given to the AA to deposit.
  • Distribute requested paperwork to Residents such as, Move-in/out forms, Resident Directories, EV Charging Registration forms, Venetian Room Guidelines, Architectural Standards, etc.
  • Schedule and confirm approved reservations daily for various amenities, including the Service Elevator, Venetian Room, Conference Room, and Terrace Lounge. Ensure tables and signage are put in place as needed. Notify residents of any changes.
  • Maintain current Certificates of Insurance (COIs) for all service personnel for residents including moving companies, HVAC technicians, handymen, contractors, etc.
  • Print the newspaper and mail hold list as needed for the Service Desk
  • Coordinate the envelopes for the Friday door-drops
  • Ensure all office equipment is in working order and the copy machine always has paper.
  • Attend social events in a working capacity, when requested.
  • Additional projects as assigned by the GM/AGM/OM.
  • Previous experience as a Receptionist or Front Desk attendant in hotel or residential environments is essential.
  • Strong customer service, communication, and interpersonal skills are required.
  • Effective written and verbal communicator.
  • Able to operate a computer and be proficient in working knowledge of MS Office Programs (Office, Word, Excel) and e-mail.
  • Able to operate standard office equipment, including fax machine, copier, telephone, etc.
  • Able to be flexible and adapt to changing environments, make decisions in stressful situations and prioritize and reprioritize tasks and projects.
