Job Description - Receptionist - Full Time

    Essential Functions Statement(s) Are Listed in Bold



    • Answer telephones, forward calls, provide information, take messages and follow-up on calls as needed and appropriate.

    • Greet all persons entering establishment, ascertain needs if any and provide appropriate follow-up as needed by the individual situation.  

    • Handles emergencies immediately and appropriately.

    • Transmit information or documents to customers, using computer, mail, or facsimile machine.

    • Collect, sort and distribute incoming mail (postal & campus) and prepare outgoing mail, UPS, Fedex or courier deliveries.

    • Hear and resolve complaints from customers or the public.

    • Receive and record payments per departmental guidelines.

    • Maintain and keep up to date records of resident status (vacations, hospital stay, etc.) utilizing the designated program for the area of assignment.

    • Perform administrative support tasks, such as filing, preparing correspondence, or operating calculators or computers to work with pay records, invoices, payments, or other documents.

    • Provides designated services for residents as defined for the area which may include check cashing, sale of postage, photocopying, faxes sending/receiving,

    • Maintains cash boxes if area has one or more insuring funds are accounted and balance at the end of the shift. 

    • File and maintain records.

    • Provide information about establishment, such as location of departments or offices, employees within the organization, or services provided.

    • Take orders for merchandise or materials and send them to the proper departments to be filled.

    • Process and prepare memos, correspondence, travel vouchers, or other documents.

    • Receive payment and record receipts for services.

    • Schedule appointments and maintain and update appointment calendars.

    • Analyze data to determine answers to questions from customers or members of the public.

    • Keep a current record of staff members' whereabouts and availability.

    • Enroll individuals to participate in programs and notify them of their acceptance.

    • Schedule space or equipment for special programs and prepare lists of participants.

    • Perform duties, such as taking care of plants or straightening magazines to maintain lobby or reception area.

    • Other duties as assigned.
