We are currently seeking a Referral & Intake Specialist to join our team. Ensure that youth and families entering our Day Treatment and Residential programs receive the best possible placement and support during their intake process. 

Disclaimer:  Shiloh House is currently hiring for two similar positions: Intake Clinician and Referral & Intake Specialist. However, only one of these positions will be filled. Applicants are welcome to apply for one or both positions, but please note that only one final hire will be made between the two. 

Compensation: In accordance with the Colorado Equal Pay for Equal Work Act, the expected salary range for this Colorado position is between $22.43 - $23.45 per hour. Actual pay will be adjusted based on experience and other job related factors permitted by law.

Responsibilities Include (but are not limited to):

  • Manage and organize all incoming referrals for Residential and Day Treatment programs.
  • Serve as the central point of contact for referral sources, funding agencies, and program leadership.
  • Initiate and input referral data into Shiloh House’s Electronic Health Record (EHR) system and referral database.
  • Collect and summarize collateral documents (e.g., court orders, psychological reports, social histories).
  • Maintain a real-time database of referral status, funding sources, and placement decisions.
  • Validate and verify funding sources prior to intake to prevent financial risk to the agency.
  • Coordinate intake logistics, including scheduling, travel to program sites, and ensuring paperwork is complete.
  • Assist with pre-placement interviews (not clinical assessments), often serving as the intake point person.
  • Collaborate with business department and leadership to secure contracts or payment authorizations.
  • Support the intake process, but do not conduct formal biopsychosocial assessments or provide therapy.
  • Respond to urgent referrals quickly, ensuring timely decisions and communication with referral partners.
  • Help train other staff on referral and intake procedures (not clinical training).
  • Assist with crisis de-escalation as needed, though not in a therapeutic capacity.

Requirements

  • Requires a Bachelor’s Degree in Psychology, Social Work, or a related human services field, with at least 1 year of experience working with at-risk youth and their families in a behavioral health, education, or child welfare setting.
  • Must have strong organizational skills and attention to detail, with the ability to multi-task efficiently and manage time effectively in a fast-paced intake environment.
  • Have the ability to work in a variety of settings (virtual and in-person) with culturally diverse families and communities.
  • Must demonstrate excellent written and verbal communication skills, and the ability to quickly build rapport with children, families, and professionals.
  • Must be comfortable navigating sensitive situations and responding to urgent referral needs with professionalism and compassion.
  • Not required to hold a clinical license but must be familiar with trauma-informed practices, referral coordination, and intake procedures. 

Other qualifications include:

  • A valid Driver’s License and a Motor Vehicle Record that meets agency requirements are required for this position. All tickets, citations, and violations of the law must be reported to the Human Resource Department.
  • Must be willing to pass background checks, including FBI fingerprint & child abuse database background checks.
  • Proficiency with electronic documentation, collateral information management, and funding verification
  • Availability for occasional after-hours intake coordination and travel to program sites as needed
  • Ability to remain calm and professional during high-stress or crisis situations
  • Commitment to confidentiality, HIPAA compliance, and ethical standards in all tasks
