Job Description - Referral Coordinator

Description

The Referral Coordinator is responsible for ensuring seamless access to specialty care by managing all aspects of the referral process. This role works closely with patients, providers, insurance carriers, and external specialists to ensure referrals are processed accurately and timely. The Referral Coordinator verifies insurance requirements, obtains authorizations, communicates with stakeholders, and follows up to ensure completion. Exceptional attention to detail, customer service, and administrative efficiency are essential in this role.

Key Responsibilities:

  • Manage and standardize referral workflows to ensure adherence to organizational protocols.
  • Process and prioritize referrals based on urgency, ensuring timely submission and follow-up.
  • Verify patient demographic and insurance information for all referrals to confirm eligibility and coverage.
  • Obtain prior authorizations as needed by contacting payers and providing appropriate clinical documentation.
  • Communicate directly with providers and patients to clarify referral needs and educate on next steps.
  • Serve as liaison between referring providers, specialists, and patients to ensure clear coordination and accurate scheduling.
  • Maintain thorough documentation in the Electronic Medical Record (EMR) system (preferably Athena).
  • Track referral completion status and follow up as needed to close referral loops.
  • Collaborate with clinic teams to identify and resolve referral workflow challenges.
  • Demonstrate exceptional customer service and professionalism in all patient and team interactions.
  • Perform other duties as assigned to support operational efficiency and patient care delivery.

Requirements

  • Medical Assistant Certification preferred
  • Prior experience with EMR systems, Athena preferred
  • Current BLS certification
  • Minimum of 1 year of experience in a healthcare administrative, referral, or patient coordination role

  • Proficient with Microsoft Office Suite and internet-based software
  • Strong communication and interpersonal skills
  • Exceptional attention to detail and organizational ability
  • Ability to manage multiple priorities in a fast-paced environment
  • Sound judgment and problem-solving skills
  • Ability to work independently with minimal supervision
  • Positive, professional demeanor in all patient and staff interactions

Physical Requirements:

  • Prolonged periods of sitting, typing, and working on a computer
  • Occasional standing, bending, and lifting (up to 15 pounds)
