Job Description - Regional Assistant Tennessee

Upstream Rehabilitation, is looking for a Regional Assistant to join our team












































JOB SUMMARY:


The Regional Assistant supports the Vice President of Operations (VPO) in many areas including monitoring, analyzing and trending the territory census and budgets, as well as assisting with coordination of recruiting and onboarding, Foundations for Excellence Day facilitation and regional meetings.  This position is also responsible for supporting the Mission, Vision and Values of Upstream Rehabilitation.

QUALIFICATIONS – Required



Education



High school diploma or equivalent.



Experience



·         Strong administrative background of 3 to 5 years.


·         Attention to detail – ability to identify discrepancies in data proactively


·         Experience with data management and integrity – cleaning filtering, sorting data


·         Basic data analysis / formulas in Excel (Lookup, Ave/Sum/Count)



Licensure



Valid driver’s license required.



Skills



·         Strong written and verbal communication skills


·         Excellent project and time management abilities


·         Highly organized with an aptitude for problem-solving


·         Excitement to continuously learn new concepts and skills


·         Ability to work efficiently with minimal supervision



Environment



Works in an office environment.



Hours of Work



Monday through Friday during normal business hours.  May be required to attend special events, some evenings and weekends, and work overtime as requested.



Travel



Requires minimal travel.

Frequent: Talking, sitting, reaching forward, fine motor skills, use of computer, use of phone  


Occasional: Standing, walking, bending forward, stooping, reaching above shoulder height, pinching, vision (far acuity), color vision, driving


Rare: Squatting, crouching, kneeling, climbing stairs or ladders, balance


Physical Requirements:


Occasional: Lift 0-20 lbs. from floor to waist. Carry, push, and pull 0-20 lbs.


Rarely: Lift under 10 lbs. from waist to shoulder.

JOB FUNCTIONS










Administrative


1.       Assures discreet handling of all business.


2.       Present essential priorities noting deadlines on incoming requests.


3.       Develop and maintain strong professional relationship with operations team members, including VPO, RVPs, Regional Directors (RDs), Multi-Site Directors (MSDs) and central office.


4.       Maintain and communicate calendars for float schedules, schedule changes and vacation coverage within territory.


5.       Work with VPO to help roll out company initiatives to the territory.


6.       Approve timecards in ADP for VPO and RVPs.


7.       Coordinate expense report for VPO and RVPs.


8.       Coordinate onsite and offsite meetings and events including area and regional meetings and events.


9.       Coordinate travel for VPO and RVPs for out of area meetings.


10.   Maintain ongoing, all-inclusive roster for territory.


11.   Prepare and maintain reporting structure for VPO distribution such as: unopened notes, unclosed notes, daily visits and potential, Clinic Director Management Reporting.


12.   Assist with compliance and time sensitive task management (e.g. Focus 15, chart audits, compliance).


Recruiting, Onboarding & Engagement


13.   Be the liaison between the hiring managers and recruiting team for coordination of in-person interviews.


14.   Pre-employment testing - setup all finalists for the applicable pre-employment testing; sending links to candidates and tracking completion.


15.   Organize Day One for new hires.


16.   Coordinate training for all non-clinical associates including coordination for virtual or in person setup.


17.   Organize and facilitate territory Foundations for Excellence Days.


18.   Maintain a master calendar of birthdays and anniversaries and coordinate life celebrations.


19.   Work in conjunction with the Training Analyst to ensure all New Hire, Focus 15 and Annual Training tracks are completed timely.


20.   Follow-up with all associates outstanding, including PRN associates.


21.   Participate in the coordination of associate engagement events and look for new ways to recognize associates for their contributions.


Financial


22.   Find, filter and present Data in a meaningful format.


23.   Report creation that is beyond and outside of the PowerBI tool.


24.   Prepare and manage metrics and reporting tasks associated with regional territory.


25.   Proactive monitoring of region financials, results, and analytics.


26.   Understand metrics and industry specifics and communicate findings to VPO.


27.   Transform and interpret large and complex data sets into actionable information in support of organizational decision-making.


28.   Investigating any data discrepancies across systems & addressing any ad-hoc questions about the data structure.


Other


29.   Other duties as assigned.
