Job Description - Regional Operations Supervisor

SUMMARY


The Regional Operations Supervisor (ROS) is a key leadership position responsible for overseeing operations across multiple assigned sites, ensuring a culture of excellence, accountability, and compliance. This role requires a proactive leader who can drive organizational goals by developing staff, improving systems, and aligning site-level operations with the mission and strategic objectives of FIELD/EPIC. The ROS leads through influence, fosters cross-department collaboration, and serves as a vital connection between central administration and frontline operations.



ESSENTIAL DUTIES AND RESPONSIBILITIES


Duties include, but are not limited to:



  • Lead and supervise site operations across assigned regions, ensuring alignment with FIELD/EPIC’s mission and performance benchmarks.

  • Facilitate regular team meetings focused on progress monitoring, staff development, and performance improvement.

  • Ensure accurate and timely student records management at all assigned sites.

  • Review and analyze ADA data, providing actionable insights and reports to the Student Services Manager.

  • Supervise and coach Student Services Coordinator (SSC) and Outreach staff, setting clear expectations and ensuring deadlines are met for enrollments, CASAS reporting, and other compliance-related tasks.

  • Oversee and approve schedules, timesheets, mileage logs, and reimbursements to ensure accuracy and policy alignment.

  • Lead coordination and execution of student commencements and other major regional events.

  • Monitor student attendance and drive strategies to support improved engagement and retention.

  • Review, cross-reference, and submit records to Admissions & Records; maintain data integrity and compliance with FERPA.

  • Support and guide academic and support staff by ensuring timely delivery of resources, instructional materials, and student meal supplies.

  • Ensure accurate inventory management of technology and student meal programs.

  • Partner with health inspectors to maintain compliance in food safety, sanitation, and facilities maintenance.

  • Lead site-level facilities oversight, escalating maintenance concerns and ensuring safe, clean, and functional environments.

  • Participate in strategic planning meetings with senior leadership; contribute insights to enhance regional operations.

  • Conduct weekly supervision and coaching meetings with SSC and outreach teams.

  • Promote cross-functional collaboration between regional managers, counseling staff, teachers, instructors, and administrative personnel.

  • Maintain high visibility across assigned sites, traveling daily to conduct walkthroughs, provide leadership presence, and respond to operational needs in real time.


SUPERVISORY RESPONSIBILITIES



  • Supervise and evaluate SSC and Outreach staff performance.

  • Build a culture of accountability, growth, and support across site-based teams.

  • Coach staff to strengthen customer service, compliance, and responsiveness.

  • Resolve site-level issues and elevate concerns requiring executive input.


QUALIFICATIONS



  • Proven ability to lead, coach, and develop high-performing teams in a fast-paced, multi-site environment.

  • Strong organizational and operational leadership skills with a results-driven mindset.

  • Proficient in analyzing data to drive decision-making and improve performance outcomes.

  • Knowledge of state and federal educational compliance, ADA, CASAS, FERPA, and relevant local regulations.

  • Technologically proficient with experience using Microsoft Office Suite, Google Workspace, and academic software such as Aeries, Canvas, or Cyber High.

  • Exceptional communication skills—written, verbal, and interpersonal.

  • Ability to lead change, manage conflict professionally, and foster inclusive team dynamics.


EDUCATION AND EXPERIENCE



  • High School Diploma required.

  • Associate or Bachelor’s degree strongly preferred; coursework in Business, Education, Public Administration, or a related field is a plus.

  • Minimum 5 years of progressive leadership experience, including 3 years supervising staff, preferably in a K–12, adult education, or nonprofit setting.

  • Experience overseeing multi-site operations or geographically distributed teams is preferred.


CERTIFICATES, LICENSES, REGISTRATIONS



  • Valid driver’s license and personal automobile insurance required.


TRAVEL REQUIREMENTS



  • Daily travel required to assigned sites and occasional overnight travel for regional meetings or trainings.


LANGUAGE SKILLS



  • Bilingual in English and Spanish required.


PHYSICAL DEMANDS



  • Ability to perform physical tasks including lifting up to 40 lbs., prolonged sitting, and frequent travel.

  • Must be able to conduct site walkthroughs, transport supplies, and meet job demands in office and field environments.


WORK ENVIRONMENT



  • Combination of indoor office settings and outdoor site visits, with exposure to varying weather and facility conditions.

  • Must be able to manage operations in dynamic, field-based environments.
