SUMMARY STATEMENT & PURPOSE: The position is responsible for managing the Registration staff, this will include the day-to-day staffing operations of registration for all clinic locations to ensure accuracy and completeness in checking patients in for their appointment, checking patients out after their visit and scheduling their return to clinic appointment, and providing excellent customer service. This position is responsible for the strategic initiatives, process design, budgets, labor targets, process improvements, team development, and implementation of departmental policies and procedures. This position works collaboratively with the Physicians, Clinical Staff, and other members of the leadership team to support smooth patient flow and achievement of clinic wide initiatives around the revenue cycle, patient satisfaction, and regulatory compliance. 

ESSENTIAL DUTIES & RESPONSIBILITES:

  1. Oversee and guide a diverse team, fostering a positive and collaborative work environment. Responsible for hiring, training, mentoring, and performance management to include evaluations and appropriate corrective action up to and including recommending termination, to ensure team members reach their full potential and align with the company’s strategic goals. 
  2. Oversees day-to-day actions of staff to ensure established protocols and policies are followed, assigns tasks and redirects staff to ensure daily objectives are accomplished effectively and efficiently.
  3. Ensures adequate staffing at clinic locations to meet provider/patient demand and adjusts staffing at locations as needed. 
  4. Monitors staff attendance and timekeeping and ensures timecards are accurate with the goals of payroll accuracy, maximizing physician/staff productivity, and meeting established labor budget targets. 
  5. Plans for and facilitates regular department / team meetings to include preparation of the agenda and related materials and ensures timely follow-up on action items identified during the meeting.  
  6. Designs, implements, and updates departmental policies and procedures and protocols to continuously improve quality patient care, increase operating efficiencies, and ensure compliance with regulatory requirements and standards.
  7. Works out of each clinic location on a regular and rotating basis and travels between locations, as necessary.
  8. Demonstrate a strong working knowledge of the registration software and other complimentary applications with proven ability to register patients according to clinic policies and protocols. 
  9. Responsible for the front-end components of the revenue cycle to include insurance verification eligibility, point of service cash collections, assignment of insurance and effective communication to patients about their responsibility for payment of services. Works closest with the Patient Financial Coordinators to provide financial counseling to our patients and other members of business services to ensure timely, accurate collection of payment for services. 
  10. Supports clinic wide initiatives around MACRA and other regulatory programs as they relate to Registration and Patient Services. 
  11. Rounds frequently with providers and clinical staff to gather feedback and identify areas for improvement. 
  12. Compiles weekly and monthly dashboard based on agreed upon key performance indicators and reports, as scheduled, to the Board of Directors. 

Requirements

MINIMUM QUALIFICATIONS:

  • One (1) year related training and/or experience.
  • Knowledge of clinic scheduling, registration, and front-end revenue cycle management.
  • Proficient in Microsoft Office applications including Word, Excel, and Outlook, knowledge of Practice Management, EHR software and ability to learn other software programs as needed.
  • Must have a valid driver license and reliable transportation.

PREFERRED QUALIFICATIONS:

  • Supervisory experience in a medical office setting or medical business office setting.

Salary Description

$68,640 - $102,960
