SUMMARY STATEMENT & PURPOSE: The Registration Supervisor is responsible for the day-to-day staffing and operations of the Registration team to ensure patients have a positive experience at check in and check out, and registration functions are completed timely and accurately to optimize billing and collections processes. This position works collaboratively with members of the clinical leadership team, physicians, and clinical technicians to support clinic operations at each clinic location to ensure patient questions or concerns are addressed timely. This position has supervisory responsibilities for the Registration team. This position is required to rotate between all clinic locations. 

ESSENTIAL DUTIES & RESPONSIBILITES:

  1. Oversee and guide a diverse team, fostering a positive and collaborative work environment. Responsible for hiring, training, mentoring, and performance management to include evaluations and appropriate corrective action up to and including recommending termination, to ensure team members reach their full potential and align with the company’s strategic goals. 
  2. Oversees day-to-day actions of staff to ensure established protocols and policies are followed, tasks are completed effectively and efficiently and assigns tasks and directs staff as needed to ensure patient flow. This includes all patient check in/out and return to clinic tasks. 
  3. Monitors staff attendance and timekeeping and ensures timecards are accurate with the goals of payroll accuracy, maximizing productivity, and meeting established labor budget targets.
  4. Plans for and facilitates regular department / team meetings to include preparation of the agenda and related materials and ensures timely follow up on action items identified during the meeting.  
  5. Works with the Director to develop and monitor staffing assignments, and performance metrics, to minimize overtime and maximize productivity. Ensures adequate staffing at clinic locations to meet provider/patient demand and adjusts at locations as needed.
  6. Functions as the on-site, leader for patient, physician, and other location specific issues or concerns that arise, to ensure concerns are addressed timely and/or are re-directed to the appropriate person for resolution. 
  7. Identifies and provides content for departmental policies and procedures and protocols to increase operating efficiencies and ensure compliance with regulatory requirements and standards.
  8. Ensures registration team members accurately schedule patients for their next visit, in accordance with the return to clinic information from the patient’s physician.
  9. Investigates and finds solutions for discrepancies that have led to clinical area complaints and/or patient complaints. 
  10. Ensures all batch /posting errors are corrected and communicates when they are resolved as appropriate.
  11. Must be able to perform the duties of all subordinate positions to be able to assist if staffing levels require.

Requirements

MINIMUM QUALIFICATIONS:

  • Must be at least 18 years of age.
  • Three (3) years of medical training and/or related experience. 
  • Experience in clinic scheduling, registration, and front-end revenue cycle management.

PREFERRED QUALIFICATIONS:

  • College degree.  
  • Previous supervisory experience.
